Job summary

Seamen's Society for Children and Families seeks a Facility Maintenance Coordinator to keep our buildings, equipment and vehicles in safe, good working order across three locations in NY. You will coordinate preventive maintenance, handle repairs, and manage records and vendor relations.

The role requires knowledge of HVAC, plumbing, electrical systems, and a valid driver’s license, with FDNY certifications preferred. Flexible hours and multi-site travel may be needed.

Qualifications

  • Trade school certification, associate’s degree, or at least 3 years of related work experience.
  • Valid Driver’s License.
  • Obtain and maintain FDNY Certificate of Fitness and other necessary certifications.
  • Technical, electrical, commercial building wiring and mechanical experience a plus.
  • Ability to lift up to 70 pounds and work flexible hours.

Responsibilities

  • Oversee, plan, and schedule a preventive maintenance program for HVAC, buildings, and equipment.
  • Perform repairs, cleaning, deliveries, maintenance, painting, basic plumbing, moving and assembling furniture.
  • Monitor supply levels and stock facility supplies at all locations.
  • Inspect buildings and coordinate visits to Brooklyn/Staten Island locations.
  • Report deficiencies and recommend improvements to management.
  • Update and maintain records of maintenance and repairs.
  • Coordinate vendor quotes and contracts; ensure safety systems work.
  • Serve as contact for emergency after-hours facility issues and evacuations.
  • Maintain fire system testing logs and vehicle maintenance records.

The Organization:

Founded in 1846 to care for the children of sailors in the Port of New York, Seamen's Society for Children and Families ("Seamen’s Society") was one of the first organizations in the US to care for abandoned children in family settings, rather than institutions. Today, Seamen's Society is a comprehensive $28 million nonprofit organization that offers foster care and adoption services, mental and behavioral health care services, prevention/family stabilization services, domestic violence intervention services, a health home care management program, education financial support, a childcare center, and a youth tutoring program. The agency's 200+ professionals serve over 1,250 children and over 500 families in New York City. Programs are conducted in a trauma-informed, caring manner that understands and embraces the diversity of the communities served by the organization.

Job Summary:

This position is responsible for helping keep the agency’s buildings, equipment, and vehicles safe, organized and in good working condition by coordinating maintenance requests, vendors, inspections, and records. The coordinator is responsible for the administrative record keeping of files, processes, and plans for all locations.

Duties and Responsibilities:
  • Directly responsible for overseeing, planning, and coordinating and scheduling a preventive maintenance program. This includes all heating, air conditioning, as well as maintenance and repair of buildings and equipment.
  • Perform repairs, cleaning, deliveries, maintenance, painting, basic plumbing, moving and/or assembling furniture.
  • Monitor supply levels and order, receive, distribute, and stock kitchen, restroom and other facility supplies at all Agency locations.
  • Inspect entire buildings to identify general corrective maintenance as necessary, including traveling to the Brooklyn office at a minimum of 2 times a month to complete inspections.
  • Reports deficiencies and recommends areas of improvement to management.
  • Updates and maintains records to track maintenance and repairs.
  • Coordinate and obtain quotes with vendors, service providers, and contractors.
  • Ensure security, fire, safety and emergency systems are operational and in good working order.
  • Serves as the contact person for emergency after hours fire and burglar alarm and facility related emergencies .
  • Serves as response coordinator assisting w/ emergency and disaster preparedness and fire evacuation.
  • Maintain and log fire system testing, inspections, and required documentation.
  • Responsible for vehicle maintenance, registration, repairs, inventory and tracking driver violations.
  • Perform other duties/responsibilities as assigned within the scope of the position.
Skills/Knowledge/ Abilities:
  • Knowledge of HVAC systems, plumbing, electrical, metal sheetrock framing, etc.
  • Knowledge of basic electrical wire codes (AC switches, outlets, circuit breakers, lighting, and transformers) a plus.
  • Excellent communication skills, Computer proficiency with Microsoft office, and tracking logs.
  • Ability to manage open items, priorities, and meet deadlines.
  • Ability to perform the essential functions of the job with or without a reasonable accommodation.

Our Agency operates in 3 locations: Staten Island and Brooklyn. In rare occasions, you may be temporarily transferred to either site to meet program needs
