Job summary

CSI Support & Development is seeking a Facilities Coordinator to oversee maintenance, safety, and operations for a nationwide portfolio of affordable senior housing, including over 1300 units. You will manage vendor contracts, plan preventive maintenance, and ensure OSHA and ADA compliance while maintaining hands-on involvement in critical tasks.

The role requires a 4-year degree and a minimum of 5 years in facilities management, with strong leadership, budgeting, and project management skills.

Qualifications

  • Strong leadership, communication, and negotiation skills.
  • Experience with building systems: HVAC, electrical, plumbing.
  • Proficiency with facilities management software (Wrike, Procore) and MS Office.
  • Ability to read blueprints and understand technical manuals.

Responsibilities

  • Assist with developing and implementing facility management policies.
  • Plan and coordinate preventive maintenance and ensure OSHA/ADA compliance.
  • Manage repairs, capital projects, and monitor expenditures.
  • Negotiate and manage vendor contracts for HVAC, electrical, and plumbing.
  • Review vendor invoices and ensure lien waivers comply with terms.
  • Oversee facility upgrades and capital improvement projects.
  • Conduct inspections and audits to ensure safety and compliance.
  • Respond to emergency facility issues.
  • Maintain records for audits, HUD assessments, and reporting.
  • Perform other duties as assigned.

Summary/objective

The facilities coordinator is responsible for national class affordable multifamily senior housing with a local portfolio of over 1300 units. Must have extensive knowledge and understanding of low-rise and high-rise buildings. Responsible for ensuring the efficient operation, maintenance, and safety of building systems and equipment. Position also includes vendor management, project planning, and supporting maintenance activities while maintaining hands‑on involvement in critical operational tasks.

Essential functions
  • Assistwiththedevelopmentandimplementationoffacility management policies, procedures, and standards.
  • PlanandcoordinatepreventivemaintenanceprogramsandensurecompliancewithOSHA, ADA, building codes, and company policies and procedures.
  • Managerepairs,andcapitalprojects;monitorexpendituresand forecast future needs.
  • NegotiateandmanagevendorcontractsforservicessuchasHVAC,electrical, and plumbing .
  • Review and approve vendor invoices for capital projects, ensuring notarized sworn statements and lien waivers comply with contract terms and pricing.
  • Managefacilityupgrades,renovations,andcapitalimprovement projects.
  • Conductregularinspectionsandauditstomaintaincomplianceandidentifyimprovement opportunities.

Requirements
Work environment

FacilitiesCoordinators work in an office environment with onsite visits to thirteen (13) co-op locations.

This position requires sitting at a desk for extended periods of time and a significant amount of time on the phone/computer. It also requires frequent road travel to various properties as well as extensive walking while inspecting properties both inside and outside, in all weather conditions.

  • Must be able to push/pull/lift up to 60 pounds
  • Walk, climb stairs, sit, and stand.

Frequent travel to various properties. Reliable transportation is a must.

Required education and experience
  • Bachelor’s degree in Facilities Management, Engineering, Business Administration or other related field studies preferred, but not required.
  • Certification as a Facility Manager (CFM) or Facility Management Professional (FMP) is a plus.
  • Minimum 5 years of experience in facilities management, or coordination.
  • Hands‑on experience in construction, building maintenance, facilities operations, or specializing in a skilled trade.
  • Strong leadership, team management, communication, and negotiation skills.
  • Excellent organizational and project management abilities.
  • Knowledge of building systems: HVAC, plumbing, electrical, elevators, life safety systems.
  • Ability to read blueprints, schematics, and technical manuals.
  • Familiarity with OSHA standards, ADA compliance, and building codes.
  • Familiarity with budgeting and financial management.
  • Proficiency in facilities management software (such as Wrike and Procore) and Microsoft Office.
  • Familiarity with energy management systems and building automation.
  • Attention to detail and accuracy.
  • Ability to manage multiple projects and prioritize effectively.
  • Commitment to safety, compliance, and continuous improvement.
Work authorization/security clearance requirements
