Job summary

JLL in Greenwich, CT is seeking a Facilities Coordinator to serve as the operational backbone of the client’s workplace, coordinating maintenance, vendor oversight, and occupancy services while supporting site and facility managers. You’ll conduct daily walkthroughs, respond to work orders with urgency, manage repairs and events, and ensure safety and compliance across building systems.

Qualifications

  • HS diploma or GED.
  • 5+ years in facilities/property/hospitality operations.
  • Superior customer service under pressure.
  • Excellent communication, organization and problem solving with a proactive approach.
  • Ability to work independently with minimal supervision while managing priorities.
  • Proficiency in Microsoft Office and ability to learn CMMS.
  • Self-motivated, energetic, flexible with strong attention to detail.

Responsibilities

  • Conduct daily facility walkthroughs for a clean, organized workplace and identify operational improvements.
  • Respond to work orders promptly with KPI focus and exceptional service, tracking to completion.
  • Schedule and manage repairs, maintenance and minor works with vendors to minimize disruption.
  • Serve as site point of contact for amenities including fitness, food services, transport, conference room management, and events.
  • Liaise with internal teams and vendors to ensure timely, compliant service delivery and monitor SLAs.
  • Maintain records including work orders, inventories and emergency plans; manage building access systems.
  • Respond to emergencies following protocols to meet safety and contractual obligations.

Facilities Coordinator- JLL
What this job involves:

As a Facilities Coordinator at JLL, you'll be the operational backbone of our client's workplace, ensuring every detail of the facility runs seamlessly day in and day out. This role goes beyond basic coordination - you'll be a trusted partner to Site and Facility Managers, actively supporting maintenance operations, vendor oversight, occupancy services, and client relationship management. You'll conduct daily walkthroughs, respond to work orders with urgency and care, and proactively identify opportunities to elevate service excellence. We believe the most effective teams are built when everyone is empowered to thrive, and in this position, you'll work collaboratively with colleagues across facilities management, engineering, and project management to create an exceptional workplace experience. From managing site amenities and coordinating events to maintaining emergency response plans and ensuring compliance with all safety standards, you'll play a critical role in shaping environments where our clients and their teams can succeed.

What your day-to-day will look like:
  • Conduct daily facility walkthroughs to ensure a clean, organized, and fully functional workplace environment while identifying opportunities for operational improvements
  • Respond to all work orders promptly with a focus on KPI compliance and exceptional customer service, tracking each request through to completion
  • Schedule and manage repairs, maintenance activities, and minor works projects while coordinating vendors, contractors, and service providers to minimize disruption
  • Serve as the site point of contact for amenities coordination including fitness facilities, food services, transportation, conference room management, and event support
  • Liaise with internal teams and vendors to ensure timely, compliant delivery of services while overseeing vendor performance and tracking service level agreements
  • Maintain accurate records and documentation including work orders, equipment inventories, emergency response plans, vendor contracts, and building access management systems
  • Respond to urgent facility issues and emergencies following established protocols, ensuring all services meet contractual obligations and applicable safety regulations
Required qualifications:
  • HS diploma or GED
  • 5+ years of experience in facilities management, property management, hospitality, or related operational fields
  • Superior customer service skills with the ability to maintain professionalism and composure in high-pressure, fast-paced environments
  • Excellent communication, organization, and problem-solving abilities with a proactive, solutions-oriented approach
  • Ability to work independently with minimal supervision while effectively managing competing priorities and rapidly evolving client needs
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn computerized maintenance management systems
  • Self-motivated, confident, energetic, and flexible with strong attention to detail and commitment to service excellence
Preferred qualifications:
  • Experience with computerized maintenance management systems (CMMS) such as Maximo, Corrigo, or similar platforms
  • Knowledge of local occupational health and safety requirements, critical facilities operations, and vendor management for specialized services
  • Understanding of basic technical aspects of building systems including HVAC, computer room air-conditioning, chiller systems, fire protection, and mechanical/electrical systems
  • Experience managing workplace amenities, coordinating events, and supporting office moves or reconfigurations
  • Familiarity with emergency response planning, evacuation procedures, and after-hours incident management
  • IFMA, BOMA, or other relevant facilities management certifications

Schedule: M-F 9AM-5PM

Location: Greenwich, CT

Estimated compensation for this position:

61,000.00 - 70,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
