Oversee the day-to-day facilities operations to ensure effectiveness, efficiency, and safety. Organize and coordinate a wide range of administrative and support related tasks. Function as the first point of contact for internal facilities issues, including all maintenance, cleaning, and office/location services and refer issues to the appropriate personnel. Handle building equipment emergencies and communicate as the focal point between employees and outside contractors called in to fix problems. Serve as point person for office management duties including records retention, mailroom services, office supply ordering and inventory, equipment, and courier services. Coordinate and/or lead building related projects/updates.

Responsibilities
  • Oversee the day-to-day facilities operations to ensure effectiveness, efficiency, and safety. Organize and coordinate a wide range of administrative and support related tasks.
  • Function as the first point of contact for internal facilities issues, including all maintenance, cleaning, and office/location services and refer issues to the appropriate personnel.
  • Handle building equipment emergencies and communicate as the focal point between employees and outside contractors called in to fix problems.
  • Serve as point person for office management duties including records retention, mailroom services, office supply ordering and inventory, equipment, and courier services.
  • Coordinate and/or lead building related projects/updates.
  • Ensure the building systems are operational and well maintained, including HVAC, mechanical, fire/life safety, physical security, access, office equipment and property. Research and resolve or coordinate the resolution of any problems related to facility operations.
  • Research potential vendor providers, obtain bids, and negotiate service contracts for services including building/maintenance repairs, building supplies, courier services, office supplies, security, parking, cleaning, technology, etc., in accordance with company purchasing policies and budget requirements.
  • Maintain contracts for services such as cleaning and maintenance.
  • Coordinate and facilitate on-site visits with vendors and contractors for all routine facility maintenance and repairs, as well as any building modifications.
  • Manage relationships with vendors and service providers and ensure services provided meet contract agreement and service expectations (e.g., cleaning, maintenance, grounds, security).
  • Oversee and/or help to coordinate building projects, renovations or refurbishments.
  • Order and maintain an adequate amount of all office and printing supplies, kitchen, and convenience center supplies.
  • Assist with managing the setup of conference rooms as requested.
  • Ensure the facility meets government regulations and environmental, health, and security standards.
  • May oversee the mailroom function: sorting and preparing incoming and outgoing mail/packages; printing, sorting, and distributing invoices; large print job requests; etc.
  • May serve as the Records Retention Administrator. Maintain records database; manage the logistics of all incoming and outgoing records; and ensure records are destroyed per the company’s Records Retention Policy.
  • Manage the local access/security control system (badge, keycard access).

Qualifications
  • Undergraduate degree in business or related curriculum (or equivalent combination of experience and education)
  • 2 to 5 years of facilities management, building maintenance, office management, or related experience
  • Certification and/or License – may be required during course of employment
Knowledge, Skills, and Abilities
  • Working knowledge of general business administration practices and procedures
  • Working knowledge of HVAC, security systems, and any other facilities related practices and procedures
  • Knowledge of and skill with Microsoft Office Suite and company computer systems
  • Able to respond courteously and efficiently to inquiries, complaints, and requests
  • Able to react calmly and effectively in emergency situations
  • Able to communicate clearly and effectively, both verbally and in writing
  • Able to establish effective relationships and independently manage those relations with all levels of internal staff, external customers, and vendors
  • Able to work with accuracy and detail oriented
  • Able to problem solve, multi-task and prioritize work activities
  • Able to demonstrate leadership qualities as a self-starter
  • Must be able to read, write and speak English
