Job summary

NVE Experience Agency is seeking an Event Coordinator to support both production and accounts teams in planning, logistics, and client communications. The role includes coordinating meetings, managing vendor onboarding, processing invoices, and providing on-site event support to ensure seamless execution.

The ideal candidate has 1–2 years in event planning or related fields, strong organizational skills, and excellent communication.

Qualifications

• 1–2 years of experience in event planning, client services or related field.
• Proficiency in Google Suite (Docs, Sheets, Slides).
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Able to work collaboratively in a team and autonomously.

Responsibilities

• Coordinate and organize internal and external meetings, including kick-offs and status calls.
• Document meeting notes with action items for stakeholders.
• Maintain project files and shared folders for team accessibility.
• Handle finance admin tasks: onboarding vendors, invoicing, and POs.
• Plan, coordinate, and execute events ensuring alignment with client objectives.
• Update status reports, schedules, and action item lists for timely delivery.
• Assist with timelines, budget, and vendor procurement for events.
• Coordinate on-site logistics: venue, vendors, equipment, and transport.
• Provide on-site support during install, live event, and teardown.
• Support client inquiries and changes throughout planning and execution.
