Job summary

PENZONE Salons + Spas in Dublin, OH is seeking an Experience Coordinator to design and execute experiences for wedding parties, groups, and corporate events across PENZONE brands. Qualifications

POSITION SUMMARY:

As an Experience Coordinator, you will help build experiences for wedding parties, small groups, and corporate groups looking to incorporate services + experiences across all our brands: PENZONE Salons + Spas, Royal Rhino Club Barbershop & Lounge L I T Life + Yoga, and BASE ONE. These events may be in one of our locations or on-demand at the guest's location. You will work directly with many cross-functional teams to plan the event details, from the services they experience to the food they enjoy - and everything in-between. You'll collaborate with the teams that will be onsite to ensure a seamless transition for the day of the event. This position offers tremendous hands-on learning opportunities and a multitude of tasks in a fast paced, creative environment.

RESPONSIBILITIES INCLUDE:
  • Work with guests to collaborate and plan day of details.
  • Work with artists + internal team members to coordinate details and responsibilities for day of (the event).
  • Design, manage + execute all planning and execution task for events.
  • Responsible for ensuring all event plans are up to date and tasks are performed on time.
  • Works ahead to ensure there are no last minute gaps in services to be rendered for the event and ensures coverage is assigned for all services on the day of the event.
  • Depending on the event, weekends + nights may be required.
  • General administrative + reporting tasks.
  • Conducts weekly meetings with salon management to ensure smooth execution for all events (bridals, experiences, and corporate groups).
  • Works with cross functional teams to ensure the calendars for experiences are up to date, deposits + final payments are executed, and conducts weekly checks to ensure all tickets were executed as expected.
  • Works with cross functional teams to resolve any ringing challenges + to address any guest concerns. Where the guest may be an internal team member, artist or guest receiving + booking the services being rendered.
For BASE ONE
  • Executes BASE ONE events as planned.
  • Assist Community Manager with day to day operational tasks as assigned.
  • Assists in developing floor plans for events and coordinates set up/tear down.
  • Provides timely and innovative solutions to all guest concerns.
  • Provides extraordinary guest service and spends time circulating on the floor to support our guests.
  • Maintains cleanliness and Ohio State Board of Cosmetology standards within BASE ONE.
REQUIRED KNOWLEDGE, SKILLS + ABILITIES:
  • 1-3 years of experience in event planning preferred
  • Bachelor's degree in Hospitality, Business or equivalent event experience
  • Familiarity with various social channels
  • Proficient in Microsoft Office Suite
  • High degree of initiative + ownership
  • Able to adapt to shifting priorities, demands and timelines
  • Team player with a collaborative mindset
  • Exceptional communication and interpersonal skills
  • Strong organizational skills and attention to detail
  • Strong work ethic and positive can-do attitude
