Job summary

CORE: in New York seeks an Event Operations Manager who partners with clients from contract signing to onsite execution, coordinating event deliverables and liaising between event sales and F&B teams.

You will manage site setup, vendor deliveries, communications with members, prepare proposals and budgets, and ensure accurate pricing, floor plans, and post-event follow-up, delivering CORE: standards of service excellence.

Qualifications

  • At least 3 years relevant experience in event management and coordination; fine dining restaurant experience preferred.
  • Strong event sales, operations and management skills with proven track record of organizing and executing events.
  • Highly engaged in the industry with strong network of contacts and knowledge of current trends in the Events world.
  • Strong Computer Skills; Microsoft Office Suite, Tripleseat, Prismm and Salesforce preferred.
  • Strong interpersonal and communication skills; ability to communicate with chefs, F&B team and members/guests in a fast-paced environment, maintaining a hospitable manner with professionalism and poise.
  • Familiarity with A/V equipment and media devices; ability to set up and/or trouble shoot.
  • Ability to multitask and prioritize time with a high sense of urgency for problem resolution.
  • Ability to handle stress and remain calm under pressure.
  • Ability to accommodate a flexible schedule with late nights and holidays.
  • Eager to grasp departmental, company, event details, and existing systems.

Responsibilities

  • Function as the primary point of contact for all confirmed event bookings and large reservations
  • Oversee event set-up and service on-site. Liaise between members and on-site team leaders to ensure success of event from beginning to end.
  • Manage and oversee furniture rental orders and other vendor deliverables
  • Support Event Team in managing all member communications relating to events on a daily basis; reviewing and answering incoming inquiries, ensuring the highest quality experience for members is consistently delivered.
  • Assist with the preparation of all proposals, contracts, and other event related materials.
  • Ensure that pricing is appropriate and accurate on estimates and invoices.
  • Arrange for and attend site visits, walk-throughs and tastings as needed.
  • Make detailed BEOs and distribute them to all involved departments; Ensure information regarding event floor plans, external vendors, menus, and rental equipment requirements are communicated. Update forms as necessary.
  • Maintains a strong working relationship with members/guests, vendors, and competitors.
  • Assist in organizing and managing marketing folders, archives, members lists and databases as it pertains to the events department.
  • Work closely with other Coordinators to improve best practices and processes, with focus on providing CORE: standards of service excellence

Position Summary:
