Job description

POSITION SUMMARY

The Executive Talent Operations Assistant turns Talent strategy into working process. Reporting to the Executive Strategic Advisor, this role builds and maintains the workflows, documentation, and project plans behind training, onboarding, and orientation, then manages their execution end to end — coordinating logistics, tracking timelines, and administering supporting resources. Recruiting workflow support for administrative roles falls within scope as needed.

WHO WE ARE
  • A family-owned organization with 20 years experience of raising the standards for in-home care — and we're still pushing higher.
  • We build teams of driven, mission-obsessed experts whose energy and focus turn every initiative into a success
  • Our process is our promise: proven systems and disciplined execution deliver exceptional care to every Community, Employee, and Client.
  • A culture built to energize — powering meaningful careers for world changers who never settle.
  • See How We're Raising the Bar
ROLE RESPONSIBILITIES
  • Translate strategic direction from the Executive Strategic Advisor into scoped project plans and execution.
  • Own end-to-end program delivery for hiring — from sourcing, interviewing, qualifying, interview scheduling, offer stages, and full-cycle onboarding while tracking candidate progress and flagging bottlenecks
  • Own job posting and advertising — writing job descriptions, managing board postings, and tracking sponsorship spend against budget
  • Facilitate new hire orientations, managing logistics, presenters, and materials to deliver a consistent first-day and first-week experience organization-wide
  • Manage development of role-specific frameworks (e.g., interview guides, orientation tracks), driving them through drafting, stakeholder review, and approval so they're rollout-ready
  • Compile and maintain recurring Talent department KPI deliverables — tracking metrics such as time-to-fill, time-to-hire, offer acceptance rate, source-of-hire effectiveness, onboarding completion, and 90-day retention — and package results into dashboards and reports for the Executive Team
  • Build and maintain local and industry talent networks, representing the organization at job fairs, professional associations, and community and industry events to develop pipeline ahead of open requisitions
ROLE QUALIFICATIONS
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience
  • Experience as an Executive Assistant to an Executive Team, C-Suite, or VP executive
  • Experience in HR, Talent, or People Operations, with a track record of delivering hands‑on training, onboarding, or orientation programs
  • Strong facilitation and presentation skills, with the ability to engage and train employees at all levels
  • Strong project management and organizational skills, with the ability to manage multiple initiatives and deadlines simultaneously
  • Ability to translate high-level strategic direction into practical, repeatable processes and hands‑on execution
  • Detail-oriented with a strong sense of ownership over training quality and consistency
  • Comfortable operating in a support/execution capacity, partnering closely with leadership rather than driving independent strategic decisions
  • Prior recruiting experience a plus; experience in home care, healthcare, or a multi‑site/branch services organization a plus
