Job Description
- Provide VIP guest services by greeting high-profile clients and visitors, ensuring a polished, welcoming environment that reflects executive-level standards.
- Provide executive support by managing and screening calls, emails, and correspondence related to conference room space.
- Oversee conference room bookings, set up for high-level meetings, and coordinate with other Executive Assistants (EAs).
- Maintain the reception area, inventory office supplies, and coordinate mail/deliveries.
- Maintain access control to the conference facility and coordinate with security staff as necessary.
- Perform analysis, development, and review of program administrative operating procedures.
- Monitor and maintain the physical security of the White House Secure conference facilities.
- Schedule, verify, and support conference room meetings housed by Senior Leadership, including meetings chaired by the President, Vice President, National Security Advisor, and other Senior White House staff.
- Ensure conference rooms are managed in accordance with the protocol for executive-level meetings and WHSR Standard Operating Procedures (SOP).
- Serve as a Customer Service Representative to users of White House Secure Conference Facilities; manage the scheduling process, provide access to conference rooms, and direct the flow of meeting participants.
- Maintain strict confidentiality for all executive matters.
- Proactively anticipate and efficiently handle executive and meeting needs; greet and welcome all visitors with a positive, helpful, and respectful attitude; support phone calls efficiently and professionally in an executive-level manner.
- Maintain and manage inventory for conference room support, including name plates for meetings.
- Manage and control classified documents efficiently and in accordance with security protocols
- At least three (3) years of experience in high level corporate, high end, or C-Suite Government environments in support of senior management or executives.
Job Requirements
- Proficient in MS Office Applications and able to become proficient in stand‑alone applications.
- Must be at least 18 years of age and a U.S. citizen.
- Must be TS/SCI eligible; SCI access eligibility immediately upon hire; final Top Secret clearance; and a favorably adjudicated Tier 5 investigation for SCI/Top Secret access.
- Professional and working proficiency in writing, reading, speaking, and understanding the English language; able to speak with sufficient accuracy to participate in formal and informal conversations on practical, social, and professional topics.
- Highly professional with exceptional communication skills for interacting with executive level stakeholders; maintain strict discretion with confidential information; maintain a highly professional attitude and appearance following standards for dress attire.
- Technical proficiency with advanced knowledge of MS Office Suite (Outlook, Word, Excel) and office equipment.
- Strong multitasking abilities, including proactive problem‑solving, and capability to work in a fast‑paced environment.
- Strong customer service, problem solving, oral, written, and interpersonal skills; able to work under pressure in a complex and changing environment.
- Complete additional onboarding requirements as documented by the National Security Council.
- Comply with all local and Government security regulations and requirements, including required safety and security training and briefings.
- Execute and maintain required WHSR/DISA‑provided non‑disclosure agreement(s).
- May be required to work more than the base schedule, during federal holidays, or provide 24‑hour coverage during a national crisis, transition between presidential administrations, or other unforeseen events; with 2 hours on‑call services being provided 24/7 upon notification.
- Travel in and around the primary place of performance may be required.
The salary for this role is $100,000-$125,000 annually.
