Job summary

State of Nebraska is seeking an Executive Office Associate to support agency leadership with high professionalism and confidentiality. This role will interact with diverse groups, provide exceptional customer service, and influence education across Nebraska.

Qualifications

  • Associate degree in related field and five years of experience. Any equivalent education and/or work experience may substitute to meet minimum qualifications.
  • Preferred qualifications include knowledge of PreK-12 education and experience in an executive office.

Responsibilities

  • Manage calendars for senior leaders and arrange representation at meetings.
  • Schedule meetings, receive visitors, answer phones, and direct inquiries.
  • Coordinate travel logistics including transportation, lodging, registration and meals.
  • Prepare meeting agendas and assist with board of education logistics.
  • Assist with contracts, agreements and grants for workshops and staff.
  • Maintain office workflows and schedules to support agency operations.
  • Create correspondence and other mailings for public information.
  • Handle financial records, accounts payable and receivable in the Nebraska system.

Job Description

The Nebraska Department of Education is looking for an Executive Office Associate – this is an important central role directly supporting our agency leadership, maintaining high degrees of professionalism and confidentiality. This position will interact with a variety of people and provide a high level of customer service, and has an impact on education throughout the State of Nebraska.

Office Location: This position is assigned to our office located at 84th & O St, Lincoln, NE.

Pay Grade 6: $26.539/hour

This rate is based upon available budget funds; any offer will be made at this rate.

Essential Functions
  • Manages the calendars of senior leaders in the Commissioner’s Office and arranges for the representation of the Commissioner’s Office at meetings and events.
  • Assists with daily operations of the office, including scheduling meetings, receiving visitors, answering phones, and directing and answering inquiries.
  • Coordinates travel logistics including transportation, lodging, registration, food, and payments for the Commissioner’s Office and members of the State Board of Education
  • Assists with State Board of Education meeting agenda preparation and logistics.
  • Assists with generating and processing contracts, agreements, and grants for workshops, meetings, speakers, and staff.
  • Coordinates workflow and schedules office operations and staff activities to facilitate management of NDE operations.
  • Processes and maintains databases and spreadsheets to provide information.
  • Creates correspondence, summaries, and other mailings for public information and awareness activities.
  • Performs administrative duties and accounting work including preparing, maintaining, and processing financial records and documents, and accounts receivable and payable in the State of Nebraska accounting system.
Working Conditions And Travel

This position requires approximately 90% of work time spent in an office environment; the remainder is spent traveling or working in alternative sites such as state board meetings, schools, educational service units, conferences, and other agencies. There is also approximately five to ten days of overnight travel per year.

Requirements / Qualifications

Minimum Qualifications: Associate degree in related field and five years of experience related to the essential functions of the position. Any equivalent education and/or work experience may be substituted in order to meet the minimum qualifications of the position.

Preferred Qualifications: Knowledge of PreK-12 education and experience working within the executive office of a business or agency.
