Job summary

The University of Miami's Department of Physician Logistics and Optimization seeks an Executive Director to supervise and advance ambulatory access and physician logistics across UHealth. You will lead data-driven improvements and coordinate scheduling strategy and templates with Epic and IT partners.

Job description

The University of Miami Department of Physician Logistics and Optimization has an exciting opportunity for an Executive Director Physician Logistics and Optimization. The Executive Director supervises, evaluates, develops, and implements best practices, operational processes, and system configuration within UHealth related to ambulatory access. The Director, Physician Logistics and Optimization organizes and coordinates access strategy, projects and workflow design and improvement to meet organizational and departmental goals. The incumbent manages the day-to-day analysis and optimization of an organization's business processes as it relates to provider scheduling templates, scheduling protocols and physician logistics.

Core Job Functions
  • Coordinates studies of operational and performance data and identifies opportunities to align business processes with information technology as it relates to provider scheduling, patient demand and provider capacity and physician logistics.
  • Oversees system wide provider template optimization and well as the scheduling Decision Trees and the associated teams Directs the physician logistics team which is responsible for the build and maintenance of provider schedules supporting organizational goals to streamline processes and enhance patient experience across the system.
  • Demonstrates Lean leadership philosophy and structure, and creates value evidenced by improved patient, physician and staff satisfaction at the system.
  • Directs the standard phases of process improvement including current state analysis, future state workflow development, testing/pilot, implementation, and evaluation. Oversees collection and utilization of operational and benchmarking data to recommend targets for improvements related to general scheduling workflows, use of Epic scheduling functionality (visit types, blocks, session limits, recalls, orders, etc.), template build and utilization, access reporting, and training.
  • Prepares appropriate reports and statistics, and conducts surveys in to evaluate departmental, operational, and fiscal performance.
  • Develops recommendations for scheduling optimization based on reports and analytics.
  • Facilitates multi-disciplinary teams to achieve organizational and departmental goals. Drafts, reviews and recommends policies and guidelines that support the direction of the institutional access goals.
  • Defines the scope of projects in conjunction with leadership. Plans, leads, coordinates, and collaborates with UHealth IT, ambulatory leadership and operational partners to lead projects through the appropriate phases of implementation and support throughout UHealth.
  • Organizes and leads project teams and works collaboratively with the Ambulatory Division as well as the Departments/Divisions to meet access project goals. Gathers status input from team members maintains the project schedule and publishes status reports to project and leadership stakeholders.
  • Identifies, documents, communicates, tracks and resolves issues to help the team meet project objectives. Maintains project documentation for future reference and audit requirements.
  • Develops change management strategies for successful implementations. Develops and manages operational initiatives with measurable goals and outcomes.
  • Presents access program initiatives, findings, recommendations, status updates, and escalations when appropriate to providers and administrative leaders.
  • Defines goal, objectives, and guiding principles for the access program in conjunction with organizational and departmental leadership. Serves as an expert for ambulatory scheduling and access. Supports the UHealth goals for patient experience and patient and family-centered care.
  • Establishes a strong cooperative relationship with applicable leaders by providing the information, tools and services necessary to carry out their management responsibilities. Participates in committee meetings relative to access program activities. Direct and evaluate the Access Optimization workforce in terms of staff responsibilities and performance. Oversees development of processes to support template optimization and maintenance. Oversees development and maintenance of scheduling algorithms to enable cross-site scheduling, and support UHealth Connect.
  • Ensures internal control oversight and compliance with laws and regulations, safeguarding of assets, compliance with University policies and procedures, reliability of internal and external reporting, and efficiency and effectiveness of operations. Creates an effective control environment, conducts risk assessment, implements and monitors controls.
