Job summary

MELE Associates, Inc. seeks an Executive Director to provide front-office support in a fast-paced, mission-critical environment for the NNSA NA-19 office.

The role includes briefing preparation, calendar management, meeting coordination, and travel support in a full-time on-site capacity in Washington, DC. The ideal candidate has a BA in a related field with 3+ years supporting congressional or federal programs, excellent communication, and mastery of MS Office and eDOCS.

Qualifications

  • Bachelor of Arts degree in a related field.
  • At least 3 years prior experience supporting congressional, non-government organization, or federal government programs.
  • Excellent written and oral communication.
  • Excellent organizational skills.
  • Prior experience with correspondence management.
  • Knowledge of eDOCS.
  • Customer service oriented.
  • Hard worker that shows initiative.
  • Knowledge of all Microsoft Office tools and Adobe Acrobat.
  • Outstanding team player able to work with a diverse group of people stationed in different geographic locations.
  • Works well with short turnaround deadlines in fast paced office environment and is adaptable to changing priorities.
  • Familiarity with NNSA Management and Operations (M&O) model.
  • Ability to obtain and maintain a DOE Q security clearance.

Responsibilities

  • Coordinate responses to Congressional inquiries, taskers, and reporting requirements.

  • Support NA-113’s responses to GAO and IG audits, including data calls, documentation collection, and corrective action tracking.
  • Maintain awareness of evolving policy requirements and ensure alignment with NA-113 processes.
  • Support FOIA response activities by gathering, organizing, and preparing responsive materials.
  • Collaborate with NA-113 senior leaders, program managers, and technical experts to support cross cutting initiatives.
  • Assist with workflow management, task tracking, and internal coordination across NA-113.
  • Prepare high-quality written products, including memos, summaries, reports, and decision materials.
  • Schedule weekly, bi-weekly, and monthly NA-113 meetings.
  • Manage calendars for NA-113 Assistant Deputy Administrator and Deputy Assistant Deputy Administrator.
  • Take meeting minutes and action items.
  • Prepare correspondence, memos, and briefing materials.
  • Support travel logistics for lab visits, program reviews, and workshops.
  • Manage conference-room reservations and Teams meeting setup.
  • Route inquiries and direct communications to correct staff.
  • Draft and proofread email communications on behalf of leadership.
  • Serve as first point of contact for visitors or external partners.
  • Manage office supplies, inventories, and procurement approvals.
  • Initiate service tickets, equipment requests, or IT support actions, including onboarding requests.

Description

MELE Associates, Inc. (MELE) is seeking a highly capable Executive Director to provide front office support in a fast-paced, mission critical environment. This position supports the National Nuclear Security Administration (NNSA) Office of Production Modernization and Materials Management (NA-19).

ESSENTIAL FUNCTIONS

  • Coordinate responses to Congressional inquiries, taskers, and reporting requirements.

  • College Bachelor of Arts degree with major or specialization in related field;
  • At least 3 years prior experience supporting congressional, non-government organization, or federal government programs;

LOCATION:This is a full-time onsite position in Washington, DC.

SALARY:Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position. The salary range for this position is 140k-155k.
