Position Summary

The Executive Business Partner (EBP) plays a vital role in overseeing the administrative operations of the Office of the CEO and the Board of Trustees. This position provides high-level executive support and serves as a valuable collaborator and trusted advisor to the CEO in all aspects of the organization.

The EBP is responsible for maintaining impeccable communication channels, streamlining workflows, managing time effectively, and ensuring the successful execution of strategic initiatives. Additionally, the EBP acts as a liaison between the organization and the Board of Trustees, overseeing board management and governance to ensure smooth operations.

To excel in this role, the EBP must possess outstanding organizational and prioritization skills, coupled with exceptional communication abilities. Moreover, the ability to anticipate needs, plan, and think critically are crucial attributes for success in this position.

Responsibilities

Office of CEO

  • Collaborate with the CEO to establish the strategic vision and operational priorities of the organization and outline the CEO's annual objectives.
  • Uphold and promote the organization's culture while acting as a representative for the CEO as needed.
  • Efficiently manage the CEO's calendar, schedule, and travel arrangements.
  • Create internal and external written communications for the CEO, ensuring alignment with organization-wide messaging strategies.
  • Drive or participate in special projects initiated by the CEO across various operational functions.
  • Analyze the significance and impact of different relationships, collaborating closely with the CEO to prioritize key connections that support organizational goals.
  • Maintain strict confidentiality and exercise discretion when handling sensitive information and matters, upholding the highest level of professional integrity.
  • Prepare the CEO and team members for meetings by clarifying objectives, providing comprehensive briefings, and setting agendas.
  • Record post-meeting debriefs with the CEO and communicate outcomes to relevant parties.
  • Collaborate with the CEO to craft presentations for internal and external speaking engagements and develop key talking points.
  • Support the CEO in the recruitment and onboarding process for direct reports at the VP level.
  • Assist in managing the CEO's projects, external commitments, and board/advisor obligations.
  • Responsible for tracking and processing expense reports and reimbursements.
  • Contribute to strategic planning and operational initiatives to uphold accountability and maintain alignment with the CEO's vision.

Board Engagement

  • Act as a liaison between the organization and the Board of Trustees, overseeing board management and governance.
  • Foster and maintain strong relationships with trustees, serving as the internal point of contact for all requests.
  • Drive content creation, develop agendas for board and fiduciary committees a serve as meeting secretary, and take minutes.
  • Maintain board roster and official board records of elections, approved minutes, and resolutions.
  • Develop and execute a comprehensive communications plan to keep the board informed and engaged.

Operational Excellence

  • Collaborate with the CEO and Executive Staff team to set annual goals and develop operational plans and long-term strategies.
  • Manage weekly Executive Staff meetings and offsite strategy meetings, ensuring smooth coordination and effective agenda development.
  • Facilitate all-hands meetings, incorporating input from staff to ensure content meets organizational needs and objectives, and promotes staff involvement.
  • Manage partner relationships, track activity, give-and-get initiatives, and diligently record the outcomes for organizational benefit.
  • Proactively support senior leaders in the successful implementation of projects.
  • Champion transparency and collaboration within the organization, actively modeling and promoting the culture and values of CHM.

Qualifications and Skills

  • 5+ years of experience supporting a CEO or Senior Executive
  • Bachelor’s Degree or equivalent
  • Track record of strong organizational, time management, and prioritization skills
  • Positive, approachable personality with a service-driven work ethic
  • Previous experience with non-profits and/or a passion for giving back
  • Experience serving as a board liaison and supporting a board
  • Fully sponsored medical, dental, and vision benefits
