Job description

The Windfall is partnering with a Wealth Management firm that is seeking to hire an Executive Assistant. This position is based at their midtown Manhattan office within the Global Advisory; Infrastructure, Power & Renewables team. The Executive Assistant will provide comprehensive support to the firm’s Head of Infrastructure.

The ideal candidate will have previous experience supporting senior-level individuals, with a strong emphasis on confidentiality, excellent communication and organizational skills, and the ability to multitask effectively. Responsibilities include managing complex schedules, organizing travel, and providing administrative and facilities support. The role is in-office Monday through Thursday, with Fridays working from home, from 8:00 am to 5:30/6:00 pm, with flexibility for overtime as needed.

Responsibilities
  1. Administrative duties such as scheduling meetings, coordinating travel (domestic and international), hotel reservations, booking corporate cars, and dining arrangements.
  2. Meeting coordination, including booking conference rooms, organizing catering and AV needs, printing materials, and requesting security passes.
  3. Processing expense reports using Concur.
  4. Organizing office space for visiting employees.
  5. Performing research and other administrative tasks.
  6. Facilities functions like managing packages, mailroom, print station stock, office environment, and desk setups for new or departing employees.
  7. Supporting additional tasks and special projects as assigned.
Requirements
  • Bachelor’s Degree.
  • At least 5 years of experience in a corporate environment, preferably in finance, accounting, or travel services.
  • Experience supporting top-level executives.
  • Strong computer skills, especially Microsoft Office.
  • Excellent interpersonal skills and creative problem-solving abilities.
  • Ability to build relationships across teams and communicate effectively.
  • Capable of working under pressure, multitasking, and paying attention to detail.
  • Dependable, proactive, positive, and resourceful team player.
