$82,000.00/yr - $92,000.00/yr

Executive Assistant

By performing their duties consistently and to the level of quality required, the Executive Assistant provides comprehensive professional administrative support to the Managing Director and Executive Team. This enables the Managing Director to organize and enforce accountability across the organization. Performing these duties well results in the entire organization operating in a more effective manner, ensuring we are moving forward on schedule and not missing details.

The ideal candidate will have a history of 10+ years of professional experience excelling at these duties and demonstrating success in action.

  • Ensuring the team stays on target and working with team members and their managers to resolve any issues so we can keep moving quickly and stay on schedule every day.
  • Working with the Project Manager to use Teamwork to keep track of current status and flow of each project.
  • Assist the Managing Director on keeping clear and current on all correspondence including phone calls, emails, and internal communications.
  • Assist in organizing and resolving open loops, as well as setting reminders for deadlines.
  • Assist the Executive team with a variety of administrative tasks including scheduling appointments and arranging meetings.
  • Assist theorganization by stepping up to be the primary person responsible for efficiently and effectively booking travel and accommodations for a variety of work trips during the year.
  • Assist the Executive Team in carefully guiding inquiries and requests to the Playbook or the appropriate person in the organization, to assess their time and remain focused on top-level organizational needs.
  • Manage apprentices and assign daily tasks based on team needs.
  • Facilitate resolution of challenges that arise within the scope of responsibilities.
  • Engage in a Learning Pathway each week to reinforce and expand your knowledge.
  • Other duties as assigned.

Schedule:

Our office hours are 08:00-17:00 Monday through Friday, with a one-hour unified break at 13:00. Substantially more time is required to meet deadlines, engage in strategic planning, complete independent project work, and continual learning and professional development and including core hours this should equate to a total of 50 - 60 hours a week. This time outside of office hours is directed by the executive team depending on the needed support schedule (mornings, evenings, weekends, etc).

Compensation:

As a salaried, exempt employee, you are not eligible for overtime. All amounts include benefit compensation dollars that you can allocate based on your preferences.
