Job description

The Executive Assistant supports the Executive Director (ED) of Coalition Life by organizing communication, stewarding donor relationships, and coordinating priorities. Based remotely in Chicago, this role keeps the ED focused on high-impact tasks by managing both internal requests and external engagements with professionalism, discretion, and mission alignment.

This individual reports to the Director of Stewardship while directly assisting the Executive Director. While not in a management or coordination role over departments, the assistant is responsible for tracking incoming needs across departments and ensuring the ED receives timely, summarized priorities.

Additionally, this role contributes to stewardship and donor relations, including assisting with donor communication, tax credit processing, and meeting follow-up. The ideal candidate will be both ministry-minded and highly organized, able to thrive in a fast-paced environment while supporting the ED in both professional and limited personal scheduling matters.

Requirements

Key Responsibilities
Internal and Executive Support

  • Pray daily for the mission of Coalition Life
  • Act as gatekeeper for the Executive Director by summarizing incoming communication and department requests
  • Monitor and respond to emails on behalf of the ED as appropriate
  • Manage the ED's calendar with priority given to strategic internal and external opportunities
  • Prepare internal meeting materials and action item summaries
  • Manage relationship and schedule between the ED and the Board of Directors
  • Track follow-up needs and ensure key tasks assigned by or assigned to the ED move forward
  • Provide limited personal scheduling assistance to support the ED's family responsibilities
External Relations and Public Engagement
  • Coordinate logistics for the ED's speaking engagements, interviews, podcasts, and travel
  • Act as liaison for incoming media, community leaders, church partners, and coalition groups
  • Draft, proofread, and send communications or social media posts on behalf of the ED
  • Manage event logistics and schedules for the ED at public functions, donor meetings, or advocacy efforts
  • Assist with preparation of presentations, remarks, and briefing materials
Donor and Stewardship Support
  • Report to the Director of Stewardship and support team fundraising efforts
  • Help schedule and prepare donor meetings for the ED and Stewardship Director
  • Track donor follow-up and ensure appropriate thank-you letters, note, gifts, and acknowledgments are sent
  • Assist with research on major donors, foundations, and philanthropic opportunities
  • Help track applications and questions about tax credit
  • Assist with drafting personalized donor communications and impact reports
  • Maintain accurate donor data in CRM systems and prepare reports as needed
