About Optimus Capital

Optimus Capital is a fast-growing private lending and real estate investment company specializing in financing residential and commercial projects. Known for its agility, integrity, and investor-first mindset, the team provides reliable lending solutions, strong relationships, and a streamlined experience from application to funding.

With multiple active business entities, a busy deal pipeline, and rapid organizational growth, the CEO is looking for an Executive Assistant who can bring order, structure, and consistency to a fast-moving environment.

Why This Role Is Exciting

This is a rare opportunity to work directly alongside a successful CEO, serving as his primary organizational partner across both business and personal responsibilities.

  • You will sit at the center of how the CEO operates—ensuring the trains run on time, priorities stay aligned, and nothing falls through the cracks. Your support will directly increase the CEO’s capacity to focus on high-level decision-making, while you handle the details, follow-through, and systems that keep everything moving smoothly.
  • You will be the glue that keeps the CEO organized, prepared, and operating at his best; removing bottlenecks from the rest of the organization.
  • You’ll gain meaningful insight into private lending, real estate investment, and business operations simply by being in the room and managing the rhythm of how the CEO works—while staying in a role designed for long-term stability, trust, and partnership.
  • You’ll work closely with both the CEO and the Office Manager to ensure the office, the business, and the CEO’s personal world stay synchronized, structured, and efficient.

If you love bringing clarity to chaos, enjoy building structure, and thrive supporting a busy principal, this role places you at the heart of a growing company that values reliability, trust, and thoughtful execution.

The Right Fit Candidate This role will thrive with someone who is:
  • Exceptionally organized and naturally detail-oriented
  • Calm, steady, and grounded—even when the CEO’s priorities shift
  • A proactive thinker who anticipates needs without waiting for direction
  • Someone who enjoys being the behind-the-scenes engine that keeps everything running
  • Comfortable supporting both business and personal tasks
  • Trustworthy with sensitive information
  • A strong communicator with emotional intelligence and professionalism
  • Tech-forward and open to using tools or AI to improve systems
  • Looking for a long-term, high-trust partnership with a CEO

This is a very personal, high-touch support role. Success comes from reliability, follow-through, and creating structure.

What You’ll Do CEO Support & Project Management
  • Manage Monday.com and maintain the CEO’s full task and project workflow
  • Turn voice notes, ideas, and conversations into structured action items
  • Lead weekly 1:1 meetings with the CEO to capture priorities, organize next steps, and ensure follow-through
  • Oversee the CEO’s email (Superhuman), calendar, scheduling, and time protection
  • Maintain SOPs, corporate records, subscriptions, contracts, and compliance deadlines
  • Supervise and delegate to a virtual assistant
  • Handle business and personal travel planning and itineraries
  • Maintain CRM, pipeline updates, follow-up cadence, and outreach support
  • Attend select networking events with the CEO; organize contacts and next steps
Office Support
  • Manage phone lines, greet visitors, and support general front-office operations
  • Maintain supplies, snacks, inventory, and a clean, welcoming workspace
  • Implement and maintain shared password systems and essential admin access
Personal Support
  • Process physical mail; coordinate with CPA/accounting for documents and receipts
  • Maintain personal password systems and financial organization
  • Schedule personal appointments, family travel, and life logistics
  • Support bill management and personal administrative tasks
