Job summary

Princeton Orthopaedic Associates seeks an Executive Assistant to the CEO to act as a trusted partner in managing calendars, communications, and confidential matters. This role supports the Senior Leadership Team and coordinates governance activities for the Partnership and Board, ensuring meetings run smoothly and decisions are tracked.

The ideal candidate will bring 5–8 years supporting senior leaders, exceptional communication, and strong Microsoft 365 skills.

Qualifications

  • 5–8 years of relevant experience, including 2+ years supporting a senior leader or executive, with demonstrated ability to coordinate complex, cross-functional initiatives.
  • Demonstrated ability to exercise independent judgment, anticipate executive needs, and act proactively on complex, confidential matters.
  • Exceptional written and verbal communication skills, with professional judgment when engaging senior executives, physicians, governance members, and external stakeholders.
  • Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, PowerPoint, Excel, and SharePoint, with the ability to quickly learn new platforms.
  • Working knowledge of healthcare privacy, confidentiality, and compliance expectations (HIPAA) preferred.

Responsibilities

  • Manage complex calendars, communications, and competing priorities for the CEO and Senior Leadership Team, serving as a trusted gatekeeper and liaison.
  • Anticipate upcoming priorities, deadlines, and decisions; proactively prepare the CEO and stakeholders for meetings, travel, and organizational commitments.
  • Coordinate governance activities for the Partnership, Board, and leadership committees, including agendas, pre-read materials, minutes, and follow-up actions.
  • Prepare leaders for meetings by coordinating briefing materials, logistics, and background information; support leadership forums and events.
  • Track decisions, commitments, and action items across stakeholders, escalating delays or emerging risks to the CEO as appropriate.
  • Drive execution of cross-functional projects and initiatives by tracking milestones, dependencies, and follow-through.
  • Prepare executive-ready correspondence, reports, and presentations using Microsoft Office and collaboration tools.
  • Coordinate executive travel, itineraries, expense reporting, and related logistics; provide guest hospitality for visits and meetings.

The Executive Assistant (EA) serves as a strategic administrative and operations partner to the CEO of Princeton Orthopaedic Associates and as a trusted extension of the Partnership and Senior Leadership Team. This individual proactively maximizes executive time and communications, manages complex and confidential matters, and translates priorities and decisions into coordinated action — helping the CEO and leadership stay focused, connected, and effective in a dynamic, physician-led healthcare environment. The ideal candidate brings exceptional judgment, discretion, anticipation, and organizational awareness to every interaction. This role is on-site in Princeton and hybrid work options will be considered after an introductory period.

Education/Certification: Bachelor's degree preferred

Benefits

The hiring range for this role is $35-40/hour, commensurate with experience. POA, via OrthoNJ, offers excellent benefits, a retirement savings plan, and generous paid time off.Benefit participation is always in accordance with and subject to the eligibility and provisions of the plans and programs.
