Job summary

Qualifications

  • 5+ years of progressive administrative experience, including at least 3 years supporting senior executives.
  • Associate’s degree in business or related field, or equivalent experience.
  • Bachelor’s degree in business or related field preferred.
  • Project management experience or certification preferred.
  • Ability to handle confidential information with sound judgment.

Responsibilities

  • Act as trusted partner to the CEO, managing priorities and calendar.
  • Lead complex scheduling and coordination of executive meetings, board meetings, leadership sessions, and company events.
  • Manage executive communications, including drafting, editing, and delivering high-level correspondence, presentations, and reports.
  • Coordinate between executives, leadership teams, and external partners with clear communication and timely follow-up.
  • Drive execution of special projects and strategic initiatives by tracking deliverables and timelines.
  • Prepare and analyze reports and maintain executive dashboards for decision-making.
  • Oversee travel planning and logistics for executives, including multi-location itineraries.
  • Anticipate operational needs and implement processes to improve efficiency.
  • Manage sensitive and confidential information with discretion.
  • Facilitate meetings with briefings, minutes, and action-item tracking.
  • Identify opportunities to improve administrative workflows and systems.
  • Support cross-functional HR, legal, and operations projects.

Work Location:Headquarters, Kansas City

Job Summary:

The Senior Executive Assistant to the CEO provides high-level administrative, operational, and project coordination support that enables the CEO to remain organized, focused, and effective. This role exercises independent judgment, anticipates needs, and ensures the CEO’s calendar, meetings, dashboards, communications, and follow-up processes run smoothly. The position also coordinates across departments and supports key initiatives aligned with Company priorities.

Essential Functions:
  • Act as a trusted partner to the CEO, proactively managing priorities, the calendar, and shifting business demands to keep the CEO organized and focused on company objectives.
  • Lead complex scheduling, planning, and coordination of executive meetings, board meetings, leadership sessions, and company events, including agenda development and materials preparation.
  • Manage executive communications, including drafting, editing, and delivering high-level correspondence, presentations, and reports for internal and external stakeholders.
  • Serve as a central point of coordination between executives, leadership teams, and external partners, ensuring clear communication and timely follow-up.
  • Drive execution of special projects and strategic initiatives by tracking deliverables, timelines, and accountability across departments.
  • Prepare and analyze reports and presentations and maintain executive dashboards that provide clear visibility into priorities, deadlines, decisions, and key business information to support the CEO’s decision-making.
  • Oversee travel planning and logistics for executives, including complex, multi-location itineraries, while ensuring cost efficiency and alignment with business goals.
  • Anticipate operational needs of executive leadership and implement processes or improvements to enhance efficiency and effectiveness.
  • Manage sensitive and confidential information with a high degree of discretion and professionalism.
  • Facilitate meetings by preparing briefings, capturing detailed minutes, tracking action items, and ensuring timely completion of deliverables.
  • Identify opportunities to improve administrative workflows, systems, and communication processes across the organization.
  • Support cross-functional initiatives, including HR, legal, and operational projects, as assigned by executive leadership.

Required Education/Experience/Certifications:
  • 5+ years of progressive administrative experience, including at least 3 years supporting senior executives.
  • Associate’s degree in business or related field, or equivalent experience.
  • Demonstrated experience supporting high-level executives and managing complex schedules and projects.
  • Proven ability to handle confidential information and exercise sound judgment.
Preferred Education/Experience/Certifications
  • Bachelor’s degree in business or related field.
  • Experience directly supporting a CEO or other C-suite executive in a fast-paced, growth-oriented organization.
  • Project management experience or certification.
Travel Requirements:

Less than 5% out of area travel.
