Job summary

The Gamecock Club seeks an experienced professional to plan, coordinate, and perform complex administrative and executive support duties for the CEO. You will manage the CEO’s calendar, travel, and correspondence, and serve as the primary contact for the CEO’s office, liaising with University leadership, donors, Board members, and staff.

You will also support policy coordination and board meeting logistics, and supervise interns as needed.

Job description

Plans, coordinates, and performs complex administrative, executive support, and business management duties for the Chief Executive Officer of the Gamecock Club. Serves as the primary point of contact for the CEO’s office while ensuring effective communication, organization, and coordination with Gamecock Club staff, University leadership, donors, Board members, and external stakeholders.

Essential Job Duties
  • Executive Office Management (40%): Manage the daily operations of the CEO’s office. Coordinate, draft, review, and distribute executive correspondence. Anticipate the CEO’s needs by preparing briefing materials, reports, presentations, agendas, and background information for meetings, donor visits, Board meetings, and University functions. Review incoming correspondence and communications, responding independently when appropriate while ensuring urgent matters receive the CEO’s attention. Coordinate, monitor, and track policy review cycle, ensuring that internal guidelines are regularly updated, by relevant departmental heads and housed in the organizations master library of institutional policies and bylaws. Coordinate onboarding taskforce and offboarding tasks in collaboration with Human Resources Coordinator. Provide support between the executive suite and the central HR department as it relates to policy updates. Support executive staff with board meeting logistics.
  • Calendar, Travel, and Meeting Coordination (25%): Manage the CEO’s complex calendar, scheduling internal and external meetings, donor visits, speaking engagements, and travel. Coordinate all travel arrangements, itineraries, expense reports, and reimbursement documentation. Ensure the CEO is fully prepared with meeting materials, research, and logistical support.
  • Donor and Executive Relations (10%): Serve as a liaison between the CEO’s office and the Gamecock Club Board of Directors, University leadership, Athletics Department, major donors, Gamecock Club members, volunteers, and external partners. Maintain professionalism while representing the CEO with members, donors, campus leadership, coaches, staff, and the public.
  • Confidential Projects and Strategic Support (15%): Assist the CEO with special projects, research initiatives, strategic planning efforts, and confidential assignments. Gather information, prepare reports, and make recommendations to support executive decision-making.
  • Administrative Operations (10%): Maintain confidential files, records, contracts, Board documents, and executive correspondence. Coordinate office operations and supervise interns or temporary staff as assigned. Perform other duties as assigned to support the CEO and Gamecock Club leadership.
Preferred Qualifications
  • Experience supporting senior executives or C-suite leadership.
  • Experience in higher education, collegiate athletics, nonprofit organizations, fundraising, or donor relations.
  • Experience coordinating executive-level communications.

  • Exceptional organizational and time management skills.
  • Ability to exercise sound judgment, professionalism, discretion, and confidentiality.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple competing priorities in a fast-paced environment.
  • Strong proficiency with Microsoft Office Suite and other business software.
  • Ability to build and maintain effective working relationships with donors, University leadership, Board members, staff, and external constituents.
  • Knowledge of fundraising operations, donor stewardship, and collegiate athletics is preferred.
Supervisory Responsibilities
  • May supervise interns, student employees, or temporary staff as assigned.
Guidelines and Supervision
  • Works independently with minimal supervision while exercising a high degree of initiative, judgment, and discretion. Maintains strict confidentiality regarding executive matters, personnel issues, donor information, and Board activities.
