Job description

Leading healthcare technology startup is looking for an Executive Assistant to support their Technology and Product leadership team. This is an exciting opportunity to be a partner to senior executives at an established yet rapidly evolving company with 900+ employees globally. In this role, you'll support the CTO, Chief Strategy Officer, and incoming Chief Product Officer, managing complex calendars and travel coordination, facilitating seamless communication across teams, and ensuring the executives stay on top of priorities and deadlines. You will also organize meetings and events, including All-Hands, Tech Days, Hackathons, and team events. Someone who thrives in supporting technical leaders in fast-paced environments and brings strong executive presence with the ability to read the room and adapt to diverse stakeholder needs. Experience supporting Product/Technology leaders is essential. This is an in-office role based in NYC. 120-140K DOE + competitive benefits, 401k, unlimited PTO, daily lunches provided, and fun, team culture!

Responsibilities:
  • Manage calendars for Product and Technology leaders, ensuring seamless scheduling and time management.
  • Book complex domestic and international travel, including flights, accommodations, and prepare any required documentation.
  • Adapt to the executive's preferences regarding meeting cadence, travel arrangements, and conference logistics.
  • Provide meeting support by preparing agendas, capturing notes, and distributing follow-ups and action items.
  • Organize and manage All-Hands meetings, ensuring effective communication and logistics.
  • Assist in managing special projects by tracking deliverables, coordinating stakeholders, and ensuring on-time completion.
  • Provide project management support for OKRs, including progress tracking and reminders.
  • Assist in drafting and organizing internal leadership communications.
  • Plan and execute org events and meetings, including all-hands meetings, team events, and happy hours, with full logistical support.
  • Support planning and logistics for Hackathons, including guest registration, venue setup, and resource coordination.
  • Collaborate closely with the broader Executive Assistant team on cross-functional projects and events.
  • Plan and coordinate team-building activities such as happy hours and offsite events to foster a collaborative culture.
  • Support the administration of special awards, including tracking recipients and managing gifts.
  • Prepare detailed expense reports and manage company documents and contracts as necessary.
Qualifications:
  • 5+ years of experience in an Executive Assistant role, preferably supporting product and/or technology leadership.
  • Exceptional communication and relationship management skills, with a proactive approach to keeping stakeholders informed across multiple channels.
  • Proven ability to handle sensitive and confidential information with professionalism, discretion, and integrity.
  • Strong sense of humility and respect in working with individuals at all levels; committed to fostering a positive and inclusive work environment.
  • Passion for providing high-quality support and customer service, with the flexibility to adapt to different working styles and shifting priorities.
  • Confident yet compassionate approach to problem-solving, with a “no task too big or too small” mindset.
