Park Consulting Group in Irvine, CA, seeks an exceptional Executive Assistant to be the Founder/CEO's trusted right hand. You will work directly with the Founder, gaining front-row insight into the firm’s client work and growth while shaping daily operations.

Qualifications

  • At least four years of Executive Assistant/Personal Assistant experience with a senior executive.
  • Direct experience supporting a Founder/CEO or senior leader.
  • Hands-on ownership of calendars, inbox, travel, meetings, vendors and confidential information.
  • Exceptional attention to detail, judgment, and discretion.
  • Strong written and verbal communication skills.
  • Ability to handle high volume with limited supervision.
  • Comfort using AI and automation to improve work processes.

Responsibilities

  • CEO inbox and communications: organize, draft responses, surface important matters.
  • Calendar and priorities: manage a complex executive calendar and travel needs.
  • Domestic and international travel: coordinate flights, hotels, and schedules.
  • Meeting prep and follow-through: prepare agendas, take notes, track commitments.
  • File and document management: maintain disciplined electronic filing (SharePoint/OneDrive).
  • Executive projects: lead special projects from direction to delivery.
  • Executive/personal support: coordinate purchases, trips, errands in OC.
  • Event support and vendor management: assist planning and logistics.

Job description

At Park Consulting Group, this person will be the trusted right hand to the Founder / CEO. This person will create order, protects priorities, anticipates what is coming, and makes sure important details never fall through the cracks. One hour may involve preparing the CEO for a major client meeting. The next may involve reorganizing travel, following up on a contract, solving a vendor issue, coordinating a company event, or handling a time-sensitive personal matter. The work is varied. The expectations are high. The impact is immediate.

This is an opportunity for an exceptional Executive Assistant who wants to become indispensable to a Founder and help a growing company operate at a higher level. You will work directly with the Founder of a growing consulting firm and have a front-row view of how the company serves clients, develops business, solves problems, and continues to grow. What You Will Own

  • CEO inbox and communications: Monitor, organize, and prioritize incoming messages; coordinate and draft responses; surface important matters; and ensure critical communications receive timely attention.
  • Calendar and priorities: Own a complex and changing executive calendar, resolve scheduling conflicts, protect the CEO’s time, and anticipate meeting preparation and travel requirements.
  • Domestic and international travel: Coordinate flights, hotels, transportation, itineraries, and schedule changes with exceptional accuracy.
  • Meeting preparation and follow-through: Organize agendas and materials, attend selected meetings, take detailed notes, document decisions, and track commitments through completion.
  • Electronic File and Document Management: Demonstrated ability to create and maintain disciplined electronic filing, document‑control, and information‑management systems, preferably using SharePoint, Teams, and OneDrive.
  • Executive projects: Take special projects from initial direction through final delivery by defining next steps, coordinating participants, monitoring progress, and resolving issues.
  • Company event support: Support vendor management, logistics, invitations, and tasks to organize company outings and events.
  • Systems and process improvement: Create SOPs, checklists, trackers, and technology‑enabled workflows that improve visibility, organization, and execution.
  • Executive and personal support: Coordinate purchases, returns, shipping, gifts, appointments, deliveries, and vendors at the office or personal residence, along with occasional errands throughout Orange County.

What We Are Looking For

  • At least four years of relevant Executive Assistant, Personal Assistant, or senior administrative management experience.
  • Direct experience supporting a Founder, CEO, President, or senior executive with broad responsibilities.
  • Recent hands‑on ownership of calendars, inboxes, travel, meetings, vendors, events, confidential information, and executive follow‑through.
  • Exceptional attention to detail, organization, judgment, and discretion.
  • Strong written and verbal communication skills.
  • The ability to manage a high volume of work with limited supervision.
  • Strong proficiency with Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and other business‑productivity tools.
  • Comfort experimenting with AI and automation to improve how work gets done.
  • A valid driver’s license, reliable transportation, and comfort driving throughout Orange County.
  • The ability to make this full‑time position your primary professional commitment.
  • Legally eligible to work in the U.S.; able to clear background checks (including MVR) and E‑Verify

This position offers a competitive annual salary range of $85,000 – $100,000, commensurate with experience and qualifications. Employment is W-2, exempt regular. Eligible employees will receive benefits and onboarding information upon hire.
