Job summary

The University of Utah’s Department of Pediatrics in the Spencer Fox Eccles School of Medicine has an immediate opening for an Executive Assistant to the Department Chair. This role provides high-level executive, administrative, and operational support, manages the Chair’s complex schedule, and coordinates meetings and communications to prepare leadership for institutional commitments.

Qualifications

• Bachelor’s degree in Business, Healthcare Administration, or a related field.
• Two years of office management or executive support experience.
• Ability to manage a complex calendar with competing priorities.
• Excellent written and verbal communication; discretion and confidentiality.
• Experience in academic medical centers or healthcare organizations preferred.

Responsibilities

• Coordinate the Chair’s complex calendar and prioritize time for departmental and institutional duties.
• Arrange meetings with School of Medicine and health system leadership, and external partners.
• Prepare and review executive correspondence and materials for Chair approvals.
• Support academic and professional activities including lectures, CV updates, memberships, and travel logistics.
• Maintain records, deadlines, and follow-up items for Office of the Chair.
