Job description

At Elevate Teams, we recruit, train, and place bilingual virtual assistants from Latin America with U.S. independent insurance agencies. We've built an 8-figure business on a simple belief: the right person, in the right role, changes everything.

We operate under EOS. Clarity, accountability, and hustle are not buzzwords here. They're how we run every meeting, every quarter, every hire.

We are seeking a highly organized, assertive, and proactive Executive Assistant to support a fast-paced executive leader. This is not a traditional administrative role. The ideal candidate will serve as a true right hand, bringing structure, accountability, and follow-through to a demanding environment.

This person must be comfortable managing up, holding an executive accountable to commitments, protecting their time, and ensuring priorities are executed. Success in this role requires confidence, persistence, exceptional organizational skills, and the ability to keep an executive focused, prepared, and on schedule.

Key Responsibilities:
Executive Calendar Management
  • Own and manage the executive's calendar.
  • Schedule, reschedule, and coordinate meetings.
  • Prioritize competing demands and protect time for strategic work.
  • Ensure all meetings have agendas, preparation materials, and clear objectives.
  • Maintain visibility into upcoming commitments and deadlines.
  • Provide reminders and preparation for upcoming meetings and events.
Email & Communication Management
  • Monitor and organize inboxes.
  • Prioritize urgent items and flag critical communications.
  • Draft responses and follow-up messages when appropriate.
  • Ensure important emails do not fall through the cracks.
  • Track outstanding action items from email conversations.
Executive Accountability & Task Management
  • Maintain and manage daily, weekly, and monthly priorities.
  • Create and oversee task lists and action plans.
  • Follow up relentlessly on commitments and deadlines.
  • Hold the executive accountable for completing high-priority tasks.
  • Provide reminders, nudges, and escalation when necessary.
  • Ensure key projects continue moving forward without constant oversight.
  • Track goals, deliverables, and important business initiatives.
Meeting Coordination & Follow-Through
  • Schedule internal and external meetings.
  • Prepare meeting agendas and supporting materials.
  • Capture action items and ensure follow-through.
  • Track commitments made during meetings.
  • Coordinate next steps with stakeholders.
  • Ensure meetings result in execution and accountability.
Travel & Logistics Management
  • Coordinate business and personal travel arrangements.
  • Book flights, hotels, transportation, and itineraries.
  • Manage travel-related scheduling changes and adjustments.
  • Prepare travel agendas and supporting documents.
Personal Executive Support
  • Assist with personal scheduling and administrative needs.
  • Coordinate appointments and personal commitments.
  • Handle miscellaneous executive requests and special projects.
  • Help create systems that reduce administrative burden.
Organization & Systems Management
  • Build and maintain organizational systems.
  • Create processes to improve efficiency and reduce bottlenecks.
  • Keep calendars, tasks, projects, and priorities organized.
  • Identify areas where additional structure and accountability are needed.
  • Implement tools and workflows that improve productivity.

  • You're unfazed by strong personalities and a fast, demanding pace
  • You ask once, execute, and don't come back for hand-holding
  • You're proactive, not reactive; you anticipate what's needed before being asked
  • You're persistent, you follow up until it's done, every time
  • Accountability isn't something you need to be reminded of. It's who you are
  • You own your misses, learn fast, and raise the bar on yourself
