We are seeking a dynamic, seasoned, high-performing Executive Assistant to provide comprehensive support to both the President and CEO of our dynamic organization. This role requires an individual with exceptional judgment, the ability to thrive under pressure, and the professionalism to handle a fast-paced and sometimes high-stress environment with poise and discretion.

The ideal candidate is polished, professional, and experienced enough to anticipate the needs of high-level executives while maintaining structure in a chaotic environment. They can confidently push back when needed and handle challenging interpersonal dynamics without losing their cool.

KEY RESPONSIBILITIES:

  • Manage complex and ever-changing calendars for two executives, including scheduling meetings, coordinating across time zones, and prioritizing urgent and high-level matters.
  • Arrange and coordinate extensive domestic and international travel, including flights, hotels, ground transportation, visas, and detailed itineraries.
  • Take clear and comprehensive meeting notes, manage action items, and follow up accordingly.
  • Act as a liaison between executives and internal and external stakeholders, maintaining strict confidentiality and discretion at all times.
  • Oversee and support the executives’ personal household assistant to ensure seamless coordination between professional and personal tasks.
  • Track and reconcile expenses; prepare monthly expense reports and monitor corporate card usage.
  • Prepare and edit documents, presentations, and communications using Google Docs, Sheets, and Slides.
  • Manage Zoom meetings, calls, and technology tools to support virtual collaboration.
  • Stay ahead of emerging technologies and recommend tools that enhance productivity and efficiency.
  • Serve as a gatekeeper, ensuring the executives’ time is used effectively and efficiently.
  • Navigate unprofessional or high-stress situations with maturity and tact, professionally pushing back when necessary without taking it personally.

QUALIFICATIONS:

  • Minimum of 8 years supporting VP-level or higher executives in a fast-paced, high-demand environment.
  • Proven experience managing travel, calendars, notes, and confidential matters at the executive level.
  • Strong command of Google Workspace (Docs, Sheets, Slides), Zoom, and modern communication tools.
  • Experience working in a family-owned business is a plus.
  • Outstanding written and verbal communication skills.
  • Exceptionally detail-oriented and organized.
  • Ability to multitask, prioritize, and adapt quickly to shifting priorities.
  • Self-starter with a proactive mindset and a problem-solving orientation.
  • A high school diploma and/or GED is required; a bachelor’s degree is preferred.
  • Demonstrated emotional intelligence, resilience, and discretion under pressure.

This position requires you to be seated at a desk and working on a computer for the majority of the day. On occasion, you may be required to lift items weighing up to 25 pounds.
