Job description

We are seeking an exceptional Executive Assistant to provide comprehensive administrative and executive support to our Chief Communications Officer (CCO). The ideal candidate will be highly organized, proactive, and adept at managing complex schedules and tasks in a fast-paced environment. This role requires impeccable communication skills, masterful attention to detail, and the ability to maintain confidentiality while working closely with senior leadership. The Executive Assistant will play a pivotal role in facilitating the smooth operation of the Communications Office and ensuring the CCO's effectiveness in driving strategic communications initiatives.


Responsibilities:
  1. Calendar Management: Coordinate and manage the CCO's schedule, including scheduling meetings, appointments, and conference calls, while prioritizing conflicting demands and ensuring timely reminders.
  2. Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, filtering and redirecting inquiries appropriately, and handling correspondence on behalf of the CCO with professionalism and discretion.
  3. Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation, ensuring efficiency and cost-effectiveness, while accommodating last-minute changes and unexpected delays. Experience with corporate air travel a plus. Processes expense reports in a timely manner in accordance with policy.
  4. Meeting Support: Prepare agendas, presentations, and supporting materials for meetings attended by the CCO, and ensure that meeting rooms are set up with necessary equipment and amenities.
  5. Information Management: Maintain organized electronic and physical filing systems for documents, reports, and other materials, ensuring easy access and retrieval as needed.
  6. Project Assistance: Assist in the coordination and execution of special projects and initiatives led by the Communications Office, including research, data gathering, and report preparation.
  7. Event Planning: Collaborate with internal teams to plan and execute corporate events, conferences, and media engagements, managing logistics, invitations, and follow-up activities.
  8. Budget Oversight: Assist in managing the CCO's budget, tracking expenses, processing invoices, and reconciling financial records to ensure accuracy and compliance with company policies. Also assist with processing contracts.
  9. Confidentiality Maintenance: Handle sensitive information with discretion and confidentiality, maintaining the highest standards of professionalism and integrity at all times.
  10. Ad Hoc Support: Provide additional support and assistance to the CCO and Communications team as needed, demonstrating flexibility and adaptability in addressing evolving priorities and challenges.

Qualifications:
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an Executive Assistant or similar role supporting senior executives, preferably in a corporate communications or public relations environment. Minimum of 10 years’ experience preferred.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a dynamic setting.
  • Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Microsoft Office Suite and other productivity tools, with the ability to learn new software and systems quickly.
  • Discretion and confidentiality in handling sensitive information and dealing with confidential matters.
  • Resourcefulness, initiative, and a proactive approach to problem-solving. Thinks ahead and implements process improvements to streamline tasks for the CCO and team.
  • Ability to thrive under pressure and maintain composure in high-stress situations.
  • Flexibility to work outside of regular business hours as needed to accommodate the demands of the role.
  • Commitment to upholding the values and objectives of the organization, with a passion for supporting strategic communications initiatives.
  • Position is largely remote with an expectation of 20% travel. Role requires being in person at our headquarters in Pittsburgh on occasion.

Salary:

$76,208 to $114,313. This base salary range is a good faith estimate. Based on candidate skills/experience the final offer may be lower/higher.
