Job summary

Hallow is seeking a part-time Executive Assistant to support our CEO, Alex, with calendar management, inbox triage, and travel logistics. The role offers 10–20 hours per week, with potential move to full-time as needed, based in the United States with flexible location.

The position requires 2+ years of executive-support experience, fluency with Google Calendar and Gmail, and the ability to manage complex travel itineraries while protecting the CEO's priorities.

Job description

TL;DR: We're looking for a part-time Executive Assistant to Alex, our CEO and co-founder, to run the logistics around his calendar, inbox, and travel, making sure his time is spent on his top priorities. This can be a part-time role (ranging between 10-20 hours a week) or a full-time role.

What You'll Do
  • Own the calendar: You'll manage Alex's calendar day to day - scheduling, rescheduling, and blocking time so it reflects his priorities. You'll determine which requests get prioritized vs. redirected, protect focus time, and make sure nothing double-books or inadvertently gets dropped. You'll set up and maintain recurring meetings, like leadership cadences and standing 1:1s, and you'll keep an eye on the long-range calendar, making sure board meetings and other critical commitments are set well ahead and stay protected.
  • Triage the inbox: You’ll work through Alex's inbox - flagging what's time-sensitive, pulling out the scheduling and travel requests buried in it, and surfacing what needs a response first.
  • Build relationships: You’ll be the go-to for anyone who needs Alex's time - our team, board members, and outside partners - and you’ll develop strong enough relationships to keep things moving quickly.
  • Book travel and build the itinerary: You’ll manage all domestic and international travel for the CEO, building detailed itineraries that allow him to move between meetings, events, speaking engagements, recordings, and partner visits. You’ll ensure every detail is accounted for before he leaves, from ground transport to a backup plan when a flight slips. As needed, you’ll also help support the travel needs of the executive leadership team.
  • Possible Flex into People Operations: For someone who has full-time capacity, this role could also include supporting people operations, working with Hallow’s People team to answer team questions and keep things running day-to-day.

  • Experience: 2+ years supporting an executive, preferably at a tech startup. You're fluent in Google Calendar and Gmail and comfortable booking complex travel.
Compensation Range

Part-time: $30 to $50 USD per hour

Full-time: $70,000 to $110,000 USD per year

The part-time role is paid hourly and is not eligible for equity or medical coverage. Part-time employees receive paid leave and job-protected leave as required by law, and may become eligible for our 401(k) under the plan's part-time rules.

The above full-time range only includes cash compensation. Each full-time employee in the US also receives equity compensation, alongside a top-tier benefits package (e.g., unlimited PTO, insurance, remote-flexible work, fully paid parental leave, 401(k) match, and stipends for spiritual development, health & wellness, home-office, and learning). The above range for full-time cash compensation refers to base salary. The full-time role is also eligible to be considered for a discretionary bonus at the end of each fiscal year.

The above ranges are initial estimates. Compensation may vary depending on market or location and may be adjusted depending on the person we end up hiring for this role, their experience, and market dynamics.
