Job summary

Responsibilities

Salary Range: $117,406.00 - $129,736.00

This is a full-time in-person position.

Position Summary

The primary function of this position is to ensure consistent and effective management of daily operations of the office of the President & CEO by managing complex processes, logistics, and communications - including proactive preparation for client, Executive Team, Committee, Board, and Corporator meetings. The role demands exceptional judgment, discretion, and the ability to anticipate needs across a fast-moving executive environment.

Position Responsibilities
Executive Support & Team Dynamics
  • Manage and advocate on behalf of the President & CEO and the Leadership Team through strategic time management, streamlined communications, and action accountability to ensure the highest-functioning executive team dynamics and facilitate the success of the Bank.
  • Provide non-routine, project-based and administrative support to the President & CEO that requires professional discernment on appropriate urgency and prioritization.
  • Provide calendar support requiring prioritization of commitments to ensure that both daily and long-term strategic objectives are met.
Board, Committee & Leadership Meetings
  • Attend Board meetings, Board-level Committee meetings, and Senior Leadership Team meetings; produce detailed documentation of those meetings; and track action items to completion.
  • Communicate with Board members to ensure effective preparation and timely delivery of materials for Board and Committee meetings.
  • Independently write communications (e.g., documentation of Board, Committee, and Leadership Team meetings) on behalf of the President & CEO, while also reviewing and editing documents for accuracy, grammar, style, and formatting.
  • Oversee preparation of briefing materials on specific issues and projects.
Research & Data Analysis
  • Conduct research on industry trends, peer institutions, regulatory developments, and emerging issues to inform executive decision-making and Board discussions.
  • Compile, organize, and synthesize information from multiple sources into clear, concise briefing documents, summaries, and talking points for the President & CEO.
  • Gather and analyze operational, financial, and performance data to support the preparation of Board and Committee materials, identifying key trends and highlighting items requiring executive attention.
  • Build and maintain dashboards, tracking reports, and summary analyses that monitor progress against strategic initiatives and action items.
  • Prepare charts, tables, and visual summaries that translate complex data into accessible formats for executive and Board audiences.
Planning & Coordination
  • Independently coordinate ongoing conferences and off-site meetings and events, including (but not limited to) ad-hoc Board events, Senior Leadership meetings, Executive Strategy offsites, and meetings of the Corporators.
  • Coordinate other departmental projects as assigned.
Process & Administration
  • Initiate and continuously improve administrative processes and procedures.
  • Process detail-oriented expense reports with accuracy and timeliness.

  • Minimum of 7-10 years of progressively responsible executive administrative experience, ideally supporting a C-level executive; experience in banking, financial services, or another regulated industry is strongly preferred.
  • Demonstrated experience supporting a Board of Trustees and preparing Board- and Committee-level materials.
  • Exceptional written and verbal communication skills, with proven ability to draft, edit, and proofread executive-level correspondence and meeting documentation.
  • Strong research and analytical skills, with the ability to gather, synthesize, and present data in a clear and actionable format.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint); comfort building reports, dashboards, and data visualizations.
  • Superior organizational and time-management skills, with the ability to manage multiple competing priorities and deadlines with minimal supervision.
  • Unquestionable discretion and sound judgment in handling confidential and sensitive information.
  • Polished interpersonal skills and executive presence, with the ability to interact effectively with Board members, Corporators, senior leaders, clients, and external stakeholders.
  • High degree of professionalism, initiative, and a proactive, solutions-oriented approach.
