Job summary

The University of San Diego is seeking an Executive Assistant 1 to support the Torero Hub in San Diego. This full-time staff role handles frontline reception, student accounts support, and FERPA-compliant financial aid processes, serving under the Division of Student Affairs.

The ideal candidate has a high school diploma or GED, 3 years in similar roles, and may hold a bachelor’s degree. Spanish language skills are preferred to assist a diverse student body and families.

Qualifications

  • High School diploma or GED required.
  • Three years of experience in a role requiring critical thinking, time management, customer service, and analytical skills.
  • Education beyond a high school diploma may substitute for up to two years of experience.

Responsibilities

  • Reception Services – Main point of contact for all walk-ins, email cases, and telephone inquiries.
  • Assist students with detail-oriented information in a calm, courteous and accurate manner.
  • Decide actions for each student; guide transactions or refer to a counselor as needed.
  • Answer phone and emails with consistent courtesy and efficiency.
  • Balance time with queue wait times when responding to inquiries.
  • Assign incoming cases to counselors based on complexity.
