Job summary

Qualifications

  • High school diploma or equivalent with 3 years of progressively responsible admin/office management experience.
  • Associate degree in secretarial science, business administration, or related discipline with 1 year of admin experience.
  • Bachelor's degree, preferably in business administration or related field.
  • Experience supporting a senior leader, preferably in a higher education setting.

Responsibilities

  • Manage daily administration and oversight of the Provost’s office, including confidential information.
  • Prioritize daily schedule, calendar management, and meeting materials.
  • Intercept issues, investigate, and arrange appropriate referrals or resolutions.
  • Coordinate the development and management of Academic Affairs initiatives and events.
  • Project manage processes including budget and personnel, in compliance with policies.

Position Summary

The Executive Assistant provides high-level administrative support to the Provost and Executive Vice Chancellor for Academic Affairs in a variety of assignments. She/he will work independently, and must be exceedingly well organized, flexible and possess the ability to work in a fast-paced environment with a high level of professionalism.

Responsibilities
  • Manage daily administration and oversight of the Provost’s office, including confidential and time-sensitive information.
  • Prioritize daily schedule and other issues for the Provost and Executive Vice Chancellor for Academic Affairs. This includes calendar management, preparation of materials for meetings, and providing status updates regarding ongoing issues or questions.
  • Intercept problems or queries when appropriate, investigate and develop informed judgments, and then see matters through to resolution or arrange for the appropriate referral.
  • Coordinate the development and management of Academic Affairs initiatives, events, special programs and projects.
  • Project manage key processes on behalf of the University, including budget, personnel and more, always in compliance with University, System, State and Federal policies.
  • Ensures proper materials and documents are prepared for key stakeholders: the Board of Trustees, UNC System. Takes initiative to ensure key deadlines are met.

This position must work in a collegial manner with executive leadership, faculty, staff, students, and outside constituents to ensure smooth and cohesive operations within Academic Affairs and other areas of campus according to the goals and mission of the University.

Responsibilities include highly confidential and complex assignments requiring exposure to sensitive information. Considerable discretion, judgment, diplomacy, and consistent application of institutional practices and procedures are imperative for success in this role.

Minimum Education/Experience/Skills

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Knowledge, Skills, and Abilities
  • Ability and experience supporting a senior level leader, preferably in a higher education setting.
  • Excellent calendar management skills, including the coordination of complex executive meetings.
  • Ability to manage multiple projects.
  • Knowledge of and comfort with various computer software such as MS Office Suite, web-based systems, calendar management, and website maintenance.
  • Ability to exercise independent judgment, sensitivity, and confidentiality in performing administrative support functions.
Work Schedule and Hours

Typical work schedule is Monday-Friday from 8:00 a.m. to 5:00 p.m. Additional hours may be needed on evenings and weekends to meet the needs of the Provost and the University.
