Job Title: Executive Assistant / Emergency Medical Services (EMS) Project Manager

Location: on-site / Dunwoody corporate office

Reports To: C-Level Executive Team

Employment Type: Full-Time | Exempt

Position Summary

We are seeking a highly polished, resourceful, and strategically minded Executive Assistant & Emergency Medical Services (EMS) Project Manager to provide seamless support to the C-Level Executive team while driving high-impact initiatives across the organization. This hybrid role combines advanced executive support with hands-on project leadership, cross-functional coordination, company-wide scheduling and travel planning, and direct involvement in EMS-specific operations and initiatives.

Serving as a central hub for executive operations and project delivery, this role enhances efficiency, drives execution, and ensures the leadership team is fully supported and empowered to focus on high-level priorities. The successful candidate will be a proactive problem-solver who thrives in a fast-paced environment and is capable of managing competing demands with discretion and confidence.

Key Responsibilities

Executive Leadership Support

  • Provide confidential, high-level administrative support to the C-Level Executive team.
  • Manage executive calendars, prioritize meetings, and coordinate logistics across internal and external stakeholders.
  • Prepare meeting agendas, executive briefs, presentations, and talking points.
  • Draft and manage correspondence, reports, and deliverables on behalf of leadership.
  • Handle sensitive information and communications with discretion and professionalism.
  • Reconcile expenses, manage travel authorizations, and monitor key follow-up actions.

Corporate Travel & Logistics

  • Coordinate all domestic travel arrangements for executive leadership and key personnel, including detailed itineraries, ground transportation, lodging, and vendor coordination.
  • Ensure cost-effective travel planning while maintaining executive preferences and requirements.
  • Respond quickly to travel changes and logistical needs with poise and professionalism.

Meeting Planning & Organizational Coordination

  • Plan and facilitate executive and department-level meetings, strategy sessions
  • Organize materials, secure meeting space, manage technology setup, and track follow-up actions.
  • Maintain a rolling calendar of key organizational events, leadership reviews, and compliance milestones.

Expanded EMS-Focused Project Management

  • Serve as a bridge between leadership and frontline departments, ensuring alignment between strategic vision and operational execution.
  • Project Planning: Define project scope, objectives, and deliverables. Develop detailed project plans including timelines, milestones, resources, and assigned responsibilities.
  • Project Execution: Oversee day-to-day activities of multiple concurrent projects. Monitor progress, identify and address issues, manage changes, and ensure alignment with organizational goals.
  • Facilitate cross-functional collaboration with internal departments such as Clinical Operations, HR, Finance, and Recruiting to maintain accountability and communication throughout the project lifecycle.
  • Create and manage project documentation, stakeholder updates, and performance tracking tools such as: Gantt charts, dashboards, or status reports.
  • Present regular updates, summaries, and recommendations to executive leadership, enabling informed decision-making and prioritization.

Scheduling & Strategic Planning

  • Manage day-to-day and long-term scheduling priorities for C-level executives.
  • Track and align quarterly business reviews, budget meetings, department milestones, and performance cycles.
  • Anticipate upcoming deliverables and deadlines across departments and communicate expectations clearly.

Qualifications

  • 5+ years of experience in a senior Executive Assistant or EA/Project Manager hybrid role supporting C-level leadership.
  • Strong project management experience in a healthcare, EMS, or operational environment.
  • Demonstrated ability to manage simultaneous administrative and strategic responsibilities.
  • Excellent written and verbal communication skills, including the ability to distill complex issues for leadership.
  • Advanced organizational, time management, and prioritization skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project); familiarity with project tools like Smartsheet
  • Discretion, judgment, and professional integrity in handling confidential information.

Preferred Qualifications

  • Project Management certification preferred
  • Prior experience leading or supporting initiatives in healthcare is a plus
  • Experience with Healthcare specific systems, workflows, or compliance standards is highly valued.
