A Leading Billion-Dollar Growth/Private Equity Investment Firm located in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant/Project Coordinator to support 3-5 top-level executives, including C-level. This successful new team member will proactively organize and execute tasks and projects with little supervision (after training) through their exceptional, detail-oriented project management skills. Candidates must have a minimum of 3-5+ years of applicable high-level administrative experience, ideally supporting a team within financial services, and a Bachelor’s degree is required. They should be extremely motivated, highly adaptable, solutions- and team-oriented, organized, hardworking, and possess a positive attitude, a “no task is too big or small” mentality, a sense of urgency, and the ability to maintain professional discretion at the highest level.   • Salary depends on experience (90-115k+ base), plus paid overtime and discretionary bonus eligibility.

  • Hours are 9:00am-6:00pm, with one (1) hour break and flexibility as needed. Hybrid 4/1 schedule (Monday-Thursday in office; Fridays remote).


Responsibilities:


  • Provide high-level executive administrative support to 3-5 top-level executives.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments across various time zones; create agendas, coordinate internal team/external attendee meeting invites/details according to standard company or executive preferences, and prepare and distribute meeting materials; manage, own, and maintain busy and ever-changing, high-volume calendars.
  • Liaise with high-level executives and/or their support from external companies (primarily technology and financial service companies) to manage small and large meetings, board scheduling, and additional executive support (board materials, committees, documentation requiring review/execution, etc.).
  • Communicate professionally with Limited Partners “LPs”, Portfolio Companies “PCs”, prospective company management, industry peers, internal colleagues, and other senior leaders, always exercising the utmost discretion.
  • Manage all aspects of quarterly zoom roundtables with company’s PCs (:20-30 participants), in addition to various projects to assist each executive within their specific function.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries, including flights, hotel accommodations, car services/ground transportation, events, dining reservations, etc., checking and re-checking for possible changes.
  • Oversee phone management and screening on behalf of executives.
  • Prepare, process, and submit expense reports on a timely basis, reconciling with monthly credit card statements and liaising with finance department.
  • Manage and enter executives’ activity and client data/updates into internal CRM database (DealCloud) and generate monthly and quarterly reports based upon data and activity for presentations and internal activity tracking.
  • Manage tracking of time allocation, candidate interactions, and data entry of executives’ project and value additions.
  • Manage upkeep and editing of executives’ contacts.
  • Provide back-up support to other executive support colleagues.
  • Assist with ad hoc projects and participate in various firmwide requests.


Required Qualifications:

  • Minimum 3-5+ years of relevant corporate administrative work experience with a preference for exposure to private or growth equity firms/financial services supporting multiple senior-level professionals with busy and complex schedules.
  • Bachelor’s degree strongly preferred/required.
  • Professional demeanor and ability to interact with individuals/executives (both internal and external) at all levels
  • Detail- and team-oriented, organized, and proactive contributor with excellent follow up skills to ensure nothing slips through the cracks
  • Possesses confidence and strong organizational and project management skills with the ability to seamlessly multi-task while taking ownership of the Executive Assistant role.
  • Excellent interpersonal and communication skills (both verbal and written); active listener.
  • Able to prioritize workflow and independently work efficiently while being comfortable asking questions when in doubt. Intuitive and a quick thinker capable of asking “that next question” and anticipating the unexpected
  • Evidence of history maintaining confidentiality and discretion with all sensitive information
  • Self-starter with the ability to remain calm under pressure.
  • Strong proficiency in Adobe and Microsoft Office Suite with an emphasis on Outlook, Excel, Word, and PowerPoint. Preferable experience with data entry, time tracking, etc.
