Job summary

Greater Cleveland Habitat for Humanity is seeking a part-time Executive Assistant to provide high-level administrative support to the President/CEO. This role involves managing schedules, communications, and key projects to enhance organizational efficiency.

The ideal candidate will have an Associate's degree, at least three years of relevant experience, and strong organizational skills, committed to the mission of Habitat for Humanity. The position offers a targeted hourly rate of $26 - $29.

Job description

Greater Cleveland Habitat for Humanity’s Executive Assistant provides high-level administrative and strategic support to the President/CEO, managing schedules, communications, travel, and key projects to enhance organizational efficiency. May provide additional support to other departments as needed.

Key Responsibilities
  • Manages the calendar of the President/CEO. Organizes meetings, appointments, and events to optimize executive time.
  • Serves as the primary contact between President/CEO, internal teams, and external clients or partners.
  • Answers and screens calls, emails, and correspondence, acts as a gatekeeper to prioritize requests and reduce interruptions.
  • Performs daily administrative work, deadline management, and filing.
  • Coordinates travel and logistics for business trips, including booking travel and accommodations, prepares detailed itineraries, and completes expense/mileage reports.
  • Prepares letters, reports, presentations, grant applications, meeting minutes, and other administrative tasks as assigned.
  • Provides data entry, spreadsheet creation, ledger review, word processing and other general support.
  • Organizes All-Staff and Board meetings, including scheduling, preparing agendas, ensuring that all necessary materials are distributed in advance, and AV needs are secured.
  • Schedules refreshments and other preparations required for staff events.
  • Manages sensitive information with professionalism and discretion to protect operations.
  • Assists with maintaining President/CEO’s office supplies; ensures operation of equipment.
  • Performs other duties of a similar nature as may be required.
Qualifications

Required:

  • Associate’s degree in business administration, office management, or a related field
  • Minimum of three (3) years of experience in increasingly responsible administrative support positions
  • Ability to multi-task and successfully balance changing priorities
  • Strong written and verbal communication skills
  • Ability to communicate specifically with people from diverse racial, ethnic, and socioeconomic backgrounds
  • Must act with integrity, professionalism, and confidentiality.
  • Problem-solving and anticipation skills with the ability to foresee executive needs, prevent issues, and provide solutions proactively
  • Strong organizational skills with the capacity to handle multiple tasks and changing priorities tactfully
  • Working knowledge of Microsoft 365, Windows, Excel, Desktop Publishing and Quick Books.
  • Commitment to Greater Cleveland Habitat for Humanity mission and the principles of Humanity for Humanity International.
Preferred
  • Bachelor’s degree in business administration, office management, or a related field
  • Previous experience in a nonprofit setting
  • Reports to: President/CEO
  • Department: Administration
  • Employment Type/Classification: Part-time (24 hours per week); non-exempt
  • Work Week: Monday through Friday; flexible schedule based on assignments.
  • Targeted hourly rate: $26 - $29; commensurate with experience.

Paid time off; paid holidays; 401(k) with employer match (after working 1,000 hours).

Work Environment & Physical Requirements

This position primarily operates in a professional office environment with standard office equipment. Occasional standing and walking required. May require occasional travel for meetings or conferences for professional development purposes.
