Job summary

Thomson Reuters seeks an experienced Executive Assistant to provide operational and administrative support to our Corporate Strategy (M&A) team and the VP, Enterprise Strategy. Based in New York, you will manage complex schedules, travel, expenses, and information requests with discretion and accuracy.

Qualifications

  • Proficiency with billing, travel, and expense management systems.
  • Experience in fast-paced, complex, dynamic, and multi-cultural business environments.
  • Excellent oral and written communication abilities.
  • Exemplary judgment and discretion with sensitive issues.
  • Thorough knowledge of general office practices and data gathering.

Responsibilities

  • Handle expenses, invoices, and outside services costs; coordinate meetings and events; track information requests and prepare presentations.
  • Provide support to Head of Corporate Strategy and team using MS Office 365, Workday, Travel & Expense systems.
  • Identify and resolve problems; build relationships with administrative staff to find swift solutions.
  • Interact with senior leaders and their staff; anticipate and respond to requests and adjust plans as needed.
  • Prepare reports and correspondence; proofread for accuracy.
  • Manage calendar and travel arrangements; prioritize items and route inquiries to appropriate team member.
  • Manage projects across initiatives and support standing management-led meetings.
  • Execute ad-hoc projects as assigned.

Job Description

We are currently seeking an experienced Executive Assistant to provide operational and administrative support to our Corporate Strategy (M&A) team and to our VP, Enterprise Strategy. This role will report to the Head of Corporate Strategy, M&A and will interact with senior leadership and other team members and administrative professionals on complex scheduling, project management, and information requests. The Executive Assistant will provide support including administration of travel, expenses, meeting logistics, and distribution of materials, as well as a wide range of administrative support that enhances the efficiency of the team. The successful candidate will be able to manage multiple priorities with excellent attention to detail and an ability to proactively anticipate needs. Work can be highly sensitive in nature and therefore strict confidentiality and good judgment are required. This role will be based in our New York office.

Key Responsibilities
  • Handle a variety of tasks including processing expenses, invoices and outside services costs, coordinating meetings and events, tracking information requests, presentation collation, and other special projects in an accurate and timely manner
  • Provide a wide range of administrative support that enhances the efficiency of the Head of Corporate Strategy and team including the use of technology systems used within each function (examples include the full Microsoft Office 365 suite, Workday, Travel & Expense)
  • Identify, research, and resolve complex problems and issues referred by others; establish strong business relationships with other administrative professionals internally to determine solutions swiftly
  • Interact with various leaders including senior management and their administrative support staff on significant matters, anticipating and responding to requests by modifying plans based on priorities
  • Compose and prepare reports and correspondence including proofreading for correct spelling, grammar, punctuation, usage, and content
  • Maintain calendar via scheduling, vetting and prioritization of various items; handle and respond to informational inquiries and redirect them to the appropriate team member for resolution
  • Prepare domestic and international itineraries and travel arrangements
  • Manage projects of various initiatives
  • Support standing management-led meetings and events
  • Execute other projects and duties as assigned, including ad-hoc requests
Required Qualifications
  • College diploma/University degree or equivalent experience
  • 3 to 5+ years of experience providing senior leadership/executive support
  • Advanced computer skills including MS Office, Word, PowerPoint, Excel, Teams, and OneNote
  • Proficiency with billing, travel, and expense management systems
  • Experience working within fast-paced, complex, dynamic, and multi-cultural business environments
  • Excellent oral and written communication abilities
  • Exemplary judgment and discretion, demonstrating the ability to work with a wide range of sensitive and confidential issues
  • Thorough knowledge of general office practices and resourcefulness in gathering data and obtaining answers to questions
  • Detail-oriented with the ability to work efficiently with complex information
  • Self-starter and proactive with the ability to work with minimal supervision and manage workload effectively with competing demands for resources and time
  • Proven organization skills including the ability to shift focus between responsibilities quickly
  • Ability to manage and prioritize multiple tasks in a dynamic work environment with a proven ability to meet aggressive deadlines

The base compensation range varies across locations. Eligible office location(s) for this role include one or more of the following: New York City, San Francisco, Los Angeles, and/or Irvine, CA; McLean, VA; Washington, DC. The base compensation range for the role in any of those locations is $66,900 USD - $124,300 USD. Base pay is positioned within the range based on several factors including an individual's knowledge, skills and experience with consideration given to internal equity. Base pay is one part of a comprehensive Total Reward program which also includes flexible and supportive benefits and other wellbeing programs. This role may also be eligible for an Annual Bonus based on a combination of enterprise and individual performance.
