Camden Development, Inc. seeks an Executive Assistant (Legal) to provide high-level administrative and executive support in a fast-paced legal environment.

This role manages complex calendars, coordinates meetings, and handles confidential information with discretion. The position partners with senior leadership, the Paralegal and Records Information Specialist to ensure timely completion of closing binders, board materials, and daily correspondence while upholding the company’s professional

Qualifications

  • Bachelor’s degree preferred.
  • Proficient in Microsoft Word, PowerPoint, Excel, and Adobe Acrobat.
  • Strict confidentiality.
  • Excellent documentation and verbal and written communication skills.

Responsibilities

  • Maintains permanent property-related files and coordinates with personnel.
  • Prepares summaries of material contracts, leases and other documents.
  • Prepares transactional closing binders and maintains post-closing.
  • Coordinates finalization of Board and Committee Meeting minutes.
  • Works with Paralegal and Records Information Specialist on records and information management.
  • Maintains confidential status of highly sensitive documentation and information.
  • Reviews and processes legal subpoena requests for supervisor’s execution and delivery.
  • Obtains certified corporate documentation for closings.
  • Prepares, organizes and files daily legal correspondence.
  • Keeps critical date deadlines and event calendar.
  • Maintains documentation on the Legal Department’s page (ownership, qualifications, corporate info).
  • Assists in managing documents related to transactional closings.
  • Coordinates title insurance program and schedule for properties.
  • Prepares quarterly board meeting calendars and agendas.
  • Manages invoice processing, file archiving, meeting schedules, expense reports.
  • Works on special and ongoing legal projects.
  • Enhances and presents a professional image toward management and the public.
  • Performs other duties as assigned by supervisor.

Job Summary

The Executive Assistant (Legal) manages a wide range of administrative and executive support-related tasks and works independently with little or no supervision. This position is responsible for heavy schedule, calendar and communication management. The Executive Assistant (Legal) interacts with team members at all levels in a fast-paced environment while remaining flexible, proactive, resourceful and efficient. This position must operate with a high level of professionalism, decision-making ability and confidentiality.

Essential Functions
  • Maintains permanent property-related files, which includes extensive coordination with company personnel
  • Prepares summaries of material contracts, leases and other documents
  • Prepares transactional closing binders and maintains post-closing
  • Coordinates finalization of Board and Committee Meeting minutes
  • Works with Paralegal and Records Information Specialist on all company records and information management projects
  • Maintains confidential status of highly sensitive documentation and information at all times
  • Reviews and processes legal subpoena requests for supervisor’s execution and delivery
  • Obtains certified corporate documentation for transactional and financial closings
  • Prepares, organizes and files daily legal correspondence
  • Complies with critical date deadlines and event calendar
  • Maintains documentation that resides on the Legal Department’s Inside Camden webpage, including corporate ownership; corporate and foreign qualifications; property ownership; officers; directors; corporate formations and dissolutions
  • Assists in managing documents related to transactional and financial closings
  • Coordinates “As-Built” title insurance program and maintains title insurance schedule for all properties
  • Prepares quarterly board meeting calendars and agendas
  • Manages invoice processing, file archiving, meeting schedules, expense reports
  • Works on variety of special and ongoing legal projects
  • Enhances and presents a positive image of the company and a professional friendly manner toward management, employees, staff and the public
  • Performs all other duties as assigned by supervisor
Requirements
  • Bachelor’s degree preferred
