This position will support the Vice President (VP), Corporate Audit Services and Chief Compliance Officer and related leadership teams and staff reporting to the VP and will be located in Charlotte, North Carolina.
This position requires a minimum of six years' experience and will focus on assisting with the administrative and logistical aspects of supporting the VP and related departments reporting to the VP.
Responsibilities & Duties
- Utilizes Microsoft Office Products at a high level of proficiency - including Word, Powerpoint, Outlook, TEAMs, SharePoint, Excel, OneNote, shared drives - to facilitate, prepare, edit and maintain correspondence, reports, presentations, metric dashboards, meetings and agendas to support the VP and the departments reporting to the VP in an accurate, complete, and timely manner.
- Assist the VP with all aspects of logistics relating to Audit Committee meetings and assist the VP with preparation and finalizing Board of Director Committee level materials and presentations in an accurate, complete, and timely manner.
- Maintain VP calendar using Outlook, Teams, and SharePoint; schedule appointments, internal/external meetings; arrange and coordinate all business travel and department logistics (e.g. staff meetings, 1:1s, team building events); make decisions on priorities and anticipate a variety of simple to complex needs and potential issues and ensure appropriate resolution.
- Timely and accurately review, update and maintain appropriate supporting documentation (e.g. Excel spreadsheets, dashboards, department email boxes) relating to various internal department activities and initiatives.
- Coordinate audit report distribution and related audit survey follow-up communication, ensuring accuracy and issuance with appropriate confidentiality labels; Generate monthly audit issue reports and distribute appropriately.
- Support the hiring and onboarding/offboarding activities for the departments reporting to the VP, including coordinating candidate interviews, creating interview schedules, greeting and escorting candidates and supporting onboarding/offboarding activities.
- Screen and prioritize phone messages, email and other correspondence; Respond to inquiries in a respectful and professional manner, whether from internal or external sources, and determine what, how and to whom information is to be communicated with little direction or supervision required.
- Handle information of a highly confidential nature and maintain confidentiality.
- Support the overall floor and workplace environment including ordering supplies, facilitating office operations and coordinating facilities management.
- Perform routine administrative duties such as copying, scanning, filing, creating and maintaining files, and preparing mailings.
- Understand and maintain knowledge of key systems utilized by the departments, including CAPS, Maximo, and others as appropriate.
- Prepares expense reports for VP and key members of the leadership team.
- Initiate and complete assigned projects as instructed, with accuracy, and with a sense of urgency.
- Interact and assist with members of management, department internal customers, and other team members in a respectful and professional manner.
- Assist VP, department leadership and staff with other related assignments and special, ad hoc projects.
Basic/Required Qualifications
- Bachelor’s degree and six years minimum required related experience
- In lieu of degree - High School/GED and minimum ten years of related experience.

- Experience supporting areas that require confidentiality, tact and diplomacy.
- Ability to manage confidential information with the highest integrity
- Regulated industry or utility experience.
- Strong working knowledge of computer applications such as Adobe Pro, Microsoft Teams, Outlook, Word, Excel, PowerPoint and other Microsoft products, SharePoint
- Demonstrated clear, concise, and effective written and oral communications skills, including an emphasis on grammar and formatting.
- Demonstrated ability to prioritize, organize, and coordinate work while being proactive, collaborative, taking initiative, and exhibiting sound judgment.
- Attention to detail, accuracy, and flexibility in handling multiple tasks, often under time constraints while taking direction from multiple members of the leadership team.
- Demonstrated problem solving, decision making and analytical skills.

Work Conditions
The incumbent must be based in Charlotte. The current mobility classification for this position is IN PERSON, with incumbents required to work on-site five days per week. This mobility classification could change based on business need.
