Job summary

Cepheid is seeking a highly organized Executive Assistant to support the VP, HR. You will act as a trusted liaison to the VP and the leadership team, handling confidential information with discretion and autonomy.

Your responsibilities include managing complex calendars and global travel, planning onsite and offsite events, coordinating HR initiatives, and ensuring milestones are met. You will drive operational excellence and help align executive priorities with business strategy.

Qualifications

  • 8+ years of executive-level administrative support in a corporate environment.
  • 3+ years managing executive calendars and travel arrangements.
  • 3+ years coordinating projects with timelines and milestones.
  • 3+ years planning executive meetings and corporate events from inception to completion.
  • Advanced proficiency with Outlook, Word, Excel, and PowerPoint.
  • Ability to travel internationally and domestically per business needs.

Responsibilities

  • Provide confidential support for VP, HR and leadership.
  • Manage complex calendars, global travel, expenses, POs and budgets.
  • Plan onsite and offsite events, including logistics and VIP management.
  • Coordinate HR initiatives and executive-sponsored programs.
  • Maintain action logs and track milestones; ensure timely delivery.
  • Identify risks and escalate issues as needed.

Job description

  • Provide critical support for the VP, HR Cepheid with a high level of confidentiality and autonomy
  • Serve as a trusted liaison to the VP, HR and leadership team
  • Drive operational excellence and support strategic HR and business priorities
  • Manage complex executive calendars, global travel, meetings, expense reports, purchase orders, budgets, and administrative processes
  • Independently resolve issues and prioritize urgent matters
  • Plan and execute onsite and offsite events, including venue selection, logistics, catering, audiovisual support, security coordination, VIP guest management, and presentation development
  • Coordinate key HR initiatives and executive-sponsored programs
  • Manage project plans, track milestones, facilitate stakeholder alignment, and ensure timely delivery of objectives
  • Identify, monitor, and escalation project risks
  • Maintain action logs and coordinate follow-up activities
Requirements
  • High school diploma or equivalent
  • 8+ years of administrative support experience supporting C-suite or executive-level leaders in a corporate environment
  • 3+ years of experience managing executive calendars, domestic and international travel arrangements, expense reporting, and meeting coordination
  • 3+ years of experience coordinating projects, including managing timelines, tracking deliverables, maintaining project documentation, and monitoring milestones
  • 3+ years of experience planning and executing executive meetings, conferences, and corporate events from inception through completion
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to travel internationally and domestically per business needs
