Position Summary

The Executive Assistant (Floater) plays a critical role in providing high-level administrative support to senior leadership across US Buyout. This position requires a strong executive presence, discretion, and adaptability while managing responsibilities across multiple teams, including the senior leadership of the US Buyout team, and other teams based in Washington, DC, as well as other offices. The floater EA must seamlessly integrate into different teams, demonstrating professionalism, confidentiality, and the ability to work in a fast-paced, high-stakes environment.

Responsibilities

Calendar & Meeting Management:

  • Schedule and coordinate complex internal and external meetings across multiple time zones.
  • Leverage productivity software (Microsoft Word, Excel, PowerPoint, Outlook) to manage calendars, contacts, and tasks.
  • Track and follow up on requests from internal and external stakeholders to ensure timely responses.
  • Prepare and maintain briefing materials and talking points for meetings and speaking engagements.
Travel & Expense Management:
  • Work with AmexGBT and within Concur to coordinate domestic and international executive travel.
  • Handle itinerary planning, ensuring seamless logistics, including visas, accommodations, and transportation.
  • Process expense reports and track reimbursements in a timely manner.
Document & Presentation Support:
  • Prepare high-quality presentations for conferences and events using Microsoft Word and PowerPoint.
  • Assist with document preparation, research, and file organization.
Administrative & Event Support:
  • Handle a high volume of phone calls and correspondence, ensuring professionalism and confidentiality.
  • Provide general administrative support as requested (moderate copying, filing, faxes, etc.).
  • Manage special events and executive engagements.
  • Proactively anticipate work assignments and administrative needs.
  • Maintain strict confidentiality of all sensitive and non-routine information.
  • Other reasonably related duties/projects as assigned.
Qualifications

Education & Certificates

Professional Experience

  • Minimum of 5-7 years’ experience
  • Excellent Microsoft Office Skills (including Outlook, Word, PowerPoint and Excel).
  • Willingness to work in the DC office four to five days each week.
  • Strong executive presence, discretion, and ability to interact with senior leadership.
  • Highly organized and proactive with a willingness to go the extra mile.
  • Ability to prioritize effectively and juggle multiple urgent tasks in a fast-paced environment.
  • Comfortable working independently with minimal supervision and strong follow-through skills.
  • Works well under pressure and meets tight deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Team player with a collaborative mindset and positive attitude.
The compensation range for this role is specific to Washington, DC and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.

The anticipated base salary range for this role is $95,000 to $105,000.

In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
