Job summary

Jobtailor is seeking an experienced Executive Assistant to support the CFO in New York. You will manage calendars, coordinate travel, prepare board-level materials, and draft executive communications to enable strategic decision-making.

The role requires 7+ years supporting senior executives, strong organizational skills, and mastery of PowerPoint and Excel. A C-suite background is strongly preferred; travel up to ~20% may be required.

Qualifications

  • Bachelor's degree or equivalent skill-based experience.
  • 7+ years of experience supporting senior executives; experience supporting a C-suite executive strongly preferred.
  • Experience supporting multiple senior executives is preferred.
  • Exceptional organization, project management, and prioritization skills.
  • Advanced proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
  • Strong business acumen and ability to navigate complex business priorities.
  • Strong judgment, discretion, and ability to handle highly confidential information.
  • Excellent written and verbal communication skills.
  • Ability to work strategically and tactically; capable of independent work.
  • Must be authorized to work in the United States; no immigration sponsorship.

Responsibilities

  • Serve as primary executive support partner to the CFO.
  • Provide executive support to the SVP, Head of Finance.
  • Manage calendars, meetings, travel, communications, and administrative needs.
  • Drive follow-through on decisions, action items, and projects.
  • Coordinate priorities, deadlines, commitments, and follow-up across Finance leadership.
  • Create presentations, reports, executive team materials, and board-level materials.
  • Prepare and format materials using PowerPoint and Excel.
  • Draft executive communications, talking points, agendas, and internal updates.
  • Gather, organize, and synthesize information for executive decision-making.
  • Manage complex calendars and resolve scheduling conflicts.
  • Coordinate travel itineraries, accommodations, transportation, and briefings.
  • Plan and execute meetings, events, and executive engagements.
  • Oversee expense reports, document management, contract routing, and administrative processes.
  • Maintain records, files, workflows, and outstanding-item tracking.
  • Improve administrative and operational processes.
  • Handle confidential financial, business, employee, executive, and organizational information.
  • Represent the CFO and Finance organization with professionalism, discretion, and integrity.
