Job description

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative and operational support to our Chief Executive Officer. This role is critical in helping the CEO remain organized and operating efficiently across a fast-paced marketing agency environment.

The ideal candidate is exceptionally detail-oriented, communicates professionally, and thrives managing multiple priorities simultaneously. This individual will serve as a trusted partner to the CEO by managing calendars, coordinating meetings and travel, overseeing administrative workflows, supporting internal communication, and helping keep key initiatives on track.

This position requires strong discretion, professionalism, adaptability, and the ability to balance shifting priorities while maintaining a high level of organization and follow-through.

Key Responsibilities

Executive Support & Calendar Management

  • Manage and maintain the CEO’s complex calendar, including scheduling internal meetings, client meetings, leadership meetings, travel, and personal appointments as appropriate.
  • Prioritize appointments and commitments to maximize the CEO’s time, efficiency, and focus.
  • Coordinate meeting logistics including agendas, meeting preparation, conference room scheduling, virtual meeting setup, and follow-up action items.
  • Serve as a gatekeeper for incoming meeting requests, communications, and priorities.
  • Anticipate scheduling conflicts and proactively adjust plans as needed.
  • Assist with inbox management, drafting responses, organizing communications, and ensuring timely follow-up.
  • Prepare reports, presentations, meeting materials, and briefing documents for leadership meetings, client meetings, and presentations.
  • Maintain confidentiality and discretion with sensitive information, conversations, and company matters.
Organization & Operational Support
  • Help the CEO stay organized across projects, priorities, deadlines, and strategic initiatives.
  • Track action items, deliverables, and follow-ups to ensure accountability and timely completion.
  • Coordinate cross-functional communication between leadership, department heads, and team members.
  • Support internal planning initiatives, leadership meetings, and agency operations as needed.
  • Maintain organized digital filing systems, records, and documentation.
  • As an extension of our Street Team, contribute to hands‑on client and agency projects, i.e. multi-step mailers, guerilla campaign initiatives, local pickups/deliveries, and more as needed.
  • Manage ordering of supplies for office and employees.
  • Assist with light project coordination and administrative support for agency initiatives and leadership projects.
Travel & Event Coordination
  • Coordinate business travel arrangements including flights, hotels, transportation, itineraries, and schedules.
  • Prepare detailed travel itineraries and ensure all logistics are communicated clearly and efficiently.
  • Assist with planning leadership meetings, team events, client dinners, networking events, and company functions.
  • Support coordination of conference attendance, registrations, materials, and scheduling.
  • Occasionally assist with special projects, agency events, or executive hospitality needs.
Communication & Relationship Management
  • Act as a professional and welcoming point of contact on behalf of the CEO when communicating with clients, partners, vendors, and internal team members.
  • Help facilitate smooth communication between the CEO and agency leadership team.
  • Draft, proofread, and edit correspondence and internal communications with strong attention to detail and brand voice.
  • Maintain professionalism, responsiveness, and discretion in all interactions.
Qualifications
  • 3–7 years of experience supporting executives, leadership teams, or business operations in an executive assistant, administrative, operations, or similar role.
  • Strong organizational and time management skills with the ability to manage competing priorities and deadlines simultaneously.
  • Exceptional attention to detail and follow-through.
  • Strong written and verbal communication skills.
  • Ability to anticipate needs, solve problems proactively, and operate independently.
  • High level of professionalism, discretion, and confidentiality.
  • Comfortable working in a fast-paced, collaborative environment with shifting priorities.
  • Proficiency with calendar management, project management platforms, Microsoft Office, Google Workspace, and communication tools.
  • Experience in agency, marketing, creative, or professional services environments preferred.
