Job description

As the Executive Assistant to the Chairman, President and Chief Executive Officer, you will serve as a trusted partner to the CEO, enabling the CEO to operate with maximum effectiveness across a complex, fast-paced global organization.

This is far more than a traditional administrative role. You will operate at the center of the enterprise, interacting regularly with the Board of Directors, Executive Leadership Team, senior leaders, customers, investors, external partners, and other key stakeholders. You will anticipate needs, expertly manage competing priorities, protect the CEO's time, and ensure critical commitments move from discussion to action.

Success requires exceptional judgment, discretion, executive presence, attention to detail, and the ability to remain composed and solutions-oriented while priorities change rapidly. You will understand the CEO's priorities deeply enough to proactively connect people, information, decisions, and actions across the organisation.

What You Will Do:
  • Serve as a trusted partner to the CEO, anticipating needs, identifying priorities, resolving issues proactively, and ensuring the CEO's time and attention are focused on the highest-value business priorities.
  • Strategically manage a highly complex global calendar, evaluating and prioritising requests, resolving scheduling conflicts, protecting time for critical priorities, and ensuring the CEO is appropriately prepared for engagements.
  • Coordinate complex domestic and international travel, including detailed itineraries, transportation, accommodations, visas and other requirements, while anticipating contingencies and adapting quickly when circumstances change.
  • Support CEO interactions with the Board of Directors, partnering closely with Legal, Corporate Secretary, Investor Relations, Finance, and other functions to coordinate Board and committee meetings, materials, schedules, communications, and logistics.
  • Enable the effectiveness of the Executive Leadership Team, coordinating key leadership meetings, agendas, pre‑reads, offsites, and follow‑up activities while helping ensure decisions and commitments translate into action.
  • Prepare the CEO for critical meetings and engagements by proactively gathering relevant context, synthesising information, identifying outstanding decisions, and ensuring materials are accurate, timely, and decision‑ready.
  • Act as a highly professional point of connection for the Office of the CEO, building trusted relationships with directors, senior executives, employees, customers, investors, government and community representatives, and external partners.
  • Manage incoming requests and communications, independently determining priorities, facilitating appropriate responses, and escalating matters requiring the CEO's attention.
  • Coordinate executive meetings, leadership events, customer engagements, and other high‑profile activities, ensuring an outstanding experience from planning through execution.
  • Manage administrative processes with precision, including expense reporting, invoices, purchase orders, records, approvals, memberships, correspondence, and other CEO office responsibilities.
  • Build strong partnerships across the enterprise, particularly with other Executive Assistants and teams across Corporate Affairs, Legal, Finance, Human Resources, Investor Relations, and the business, creating seamless coordination around enterprise priorities.
  • Continuously improve how the CEO's office operates, identifying opportunities to simplify processes, leverage technology and AI‑enabled productivity tools, improve information flow, and increase executive effectiveness.
What You Will Bring:
  • Bachelor's degree preferred, or equivalent combination of education and relevant professional experience.
  • Progressive executive administrative experience, including significant experience directly supporting a CEO, C‑suite executive, or similarly senior leader in a large, complex organisation.
  • Experience supporting executives in a publicly traded, global, Fortune 500 or similarly complex enterprise environment strongly preferred.
  • Demonstrated experience interacting professionally with Boards of Directors, C‑suite executives, senior external stakeholders, and other high‑profile audiences.
  • Exceptional calendar, meeting, and domestic and international travel management capabilities, including experience navigating multiple time zones and rapidly shifting priorities.
  • Outstanding written and verbal communication skills, with the ability to confidently communicate on behalf of a senior executive.
  • Advanced proficiency with Microsoft 365, including Outlook, PowerPoint, Word, Excel, Teams and emerging AI‑enabled productivity tools.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion and sound judgment.
  • Proven ability to manage multiple complex priorities simultaneously while maintaining exceptional accuracy, responsiveness, and attention to detail.
  • Flexibility to support the CEO outside traditional business hours when critical business needs, international travel, Board activity, or unexpected circumstances require it.
Who You Are:
  • Trusted and discreet: You operate with impeccable integrity and understand the level of confidentiality that comes with working at the centre of an enterprise.
  • Three steps ahead: You anticipate needs before they become requests, recognize potential conflicts early, and proactively create solutions.
  • An exceptional prioritiser: You distinguish what is urgent from what is important and confidently make judgement calls about competing demands on the CEO's time.
  • Executive-minded: You understand the business context behind requests and use that understanding to make informed decisions rather than simply manage tasks.
  • Highly organised: You bring extraordinary attention to detail while maintaining sight of the larger business priorities.
  • Poised under pressure: You remain calm, professional, resourceful, and solutions‑focused when plans change or sensitive situations arise.
  • A relationship builder: You establish trust quickly and work effectively with individuals at every level, from employees and administrative colleagues to Board directors and senior external stakeholders.
  • A clear communicator: You communicate concisely, professionally, and with the appropriate tone for the audience and situation.
  • A connector: You understand how people, priorities, and information come together and help ensure that critical matters move efficiently across organisational boundaries.
  • Technology‑forward: You embrace new tools and ways of working, including digital and AI‑enabled solutions, to increase productivity and effectiveness.
