Job summary

Executive Assistant

Full Time/100% Onsite — Washington, D.C.

Nationwide IT Services is seeking a full-time Executive Assistant (EA) to support the Department of Health and Human Services (HHS), Office of Equal Employment Opportunity (EEO), and Strategic Engagement and Partnerships Division. The candidate will perform administrative duties for executive management. The main duty of the EA is to anticipate and relieve the executive of administrative-type functions to increase the time an executive has available for executive-level responsibilities.

Duties and Responsibilities
  • Must have the ability to perform administrative tasks, including but not limited to:
  • Appointments, calendars, schedule, and customer service
  • Mail, correspondence, and reports
  • Internal and external contact work
  • Meeting preparation and assistance
  • Travel coordination
  • Requires advanced computer skills (proficient in the use of Microsoft suite products) and internet research
  • Be able to handle a wide variety of situations and conflicts involving the clerical and administrative functions of the office
  • Be responsible for confidential and time-sensitive material
  • Prepare daily briefing materials for leadership
  • Rely on experience and judgment to plan/accomplish goals and anticipate/adapt to leadership needs
  • Ability to multitask (supporting multiple personnel and/or projects), meet quick turnaround deadlines, maintain professionalism in a high-pressure environment
Job Qualifications
  • Minimum educational requirement is an associate degree from an accredited university, plus 8 years of experience working as an EA for a high-level executive or in a related role
  • Ability to obtain and retain a Public Trust clearance
  • Ability to work well with a team in a high-visibility, fast-paced environment
  • Flexibility in balancing competing and new priorities with excellent oral and written communication skills
  • Proactive and operate with minimal guidance while understanding intent
  • Have prior experience in a Federal agency (HHS preferred but not required)
  • Have already completed the HHS security clearance process; onboarding is preferred but not required

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position. Experience must be equivalent to four years of specialized experience at the GS-9/11 level in the Federal Government.
