We’re looking for a sharp, energetic, and highly organized Executive Assistant to support the Co-Founders of a fast-growing, media company that produces rigorous, visual-first journalism for tens of millions of viewers around the world.
This is a unique opportunity to work closely with two mission-driven executives building a modern media company from the ground up.
You’ll be at the heart of a small, nimble team that’s obsessed with storytelling, understanding, and doing things differently. We operate with high intensity and clear communication, and we expect the same from our EA.
You’ll be supporting both co-founders (CEO and President/Head of Content), who are deeply involved in content creation, production, and strategic growth. The right person for this role is a logistical powerhouse, a proactive problem solver, and someone who thrives in a fast-paced, always-evolving environment.
What You’ll Do:
- Own and manage the co-founders’ calendars, anticipating needs and ensuring smooth scheduling across time zones, departments, and external partnerships.
- Ruthlessly track tasks, deadlines, and follow-ups.
- Keep both founders organized via calendar, to-dos, and timely reminders.
- Drive clarity through Slack communication, not meetings.
- Monitor and manage multiple inboxes with a sharp eye for priority, tone, and accuracy. Digest, summarize, and translate into clear, actionable steps.
- Support personal logistics for both co-founders (e.g., international travel coordination, appointments, family/pet logistics, etc.)
- Serve as a key communication bridge between executives and the rest of the team, ensuring timely follow-ups, clear summaries, and consistent documentation.
- Track deadlines, maintain task lists, and help drive accountability using Asana and Slack.
- Assist with internal operations including organizing files in Google Drive, scheduling team-wide meetings, and preparing materials.
- Occasional assistance with scheduling needs of COO
- Work closely with the production and strategy teams to help execute key initiatives and make sure nothing falls through the cracks.
- Jump into small, ad-hoc projects that need an extra set of hands.
What We’re Looking For:
- You have 3+ years of experience as an EA or Project Manager in a fast-paced, high-responsibility environment (startups are a plus).
- You’re a master of the details. Typos bug you. You think three steps ahead. You keep track of everything, even the things no one told you to track.
- You communicate clearly, quickly, and kindly. Whether it’s in writing or on a call, your tone is direct but thoughtful.
- You’re an energy multiplier. You bring momentum to every room (virtual or not), and your calm, can-do attitude helps others stay on track.
- You’re highly tech-savvy with deep experience in: Slack, Asana, & Google Suite
- You’re discreet, trustworthy, and emotionally intelligent. You’ll be working closely with two people juggling intense creative and business demands—your ability to manage sensitive info and understand context is key.
- You’re a great communicator, especially over Slack and asynchronous tools.
- You’re obsessed with task tracking, documentation, and structured workflows.
- You’re curious and self-motivated—always looking for better tools, systems, or automations.
- You love ChatGPT (or other AI support) and use it regularly for problem-solving and efficiency.
- You bring energy, positivity, and enthusiasm—even for the boring stuff.
- You don’t need micromanaging—proactive, anticipatory, and independent.
Nice to Have (but not required):
- Experience working with founders.
- Interest in journalism and current events.
- Experience in start-ups
Work Culture Fit
- We work hard during the day and disconnect evenings and weekends.
- Culture values creativity, collaboration, and clear thinking over busyness.
- You probably won’t talk to us more than 1–2 times a week, but you’ll be in constant async contact via Slack.
Schedule:
- Monday to Friday, occasional weekend and evening availability needed
- 80-95k with benefits
