Shaklee is searching for an Executive Assistant to provide advanced, high-level strategic support to three senior executives across Shaklee’s R&D, Operations, and Legal teams.
This exempt-level role requires the consistent exercise of independent judgment and discretion in managing executive priorities, optimizing time allocation, coordinating cross-functional activities, and supporting reporting and forecasting initiatives. The position leverages AI-enabled tools and automation to improve executive effectiveness, streamline workflows, and enhance decision support, operating with minimal supervision as a strategic partner.
This role requires schedule flexibility, including occasional off-hours or adjusted work times, to meet executive and business demands.
ESSENTIAL FUNCTIONS
Strategic & Executive Support
- Independently manage complex, multi-executive calendars, exercising judgment to prioritize, reschedule, and consolidate meetings; leverage AI-assisted scheduling and automation tools to reduce redundancy and optimize executive time.
- Serve as a strategic time-management partner to executives by anticipating needs, identifying conflicts, and proactively resolving issues using data-informed and automated solutions.
- Support the Legal executive with reporting coordination and executive workflow optimization; this role does not perform legal or paralegal work.
- Prepare agendas, briefing materials, presentations, and executive correspondence using AI-enabled drafting, summarization, and content-organization tools while ensuring accuracy, confidentiality, and executive-ready quality.
- Represent executives in internal and external communications, exercising discretion and judgment in routing, responding to, or escalating inquiries.
- Coordinate and manage special projects and meetings, using automation to track deliverables, deadlines, and follow-ups.
- Assist in budget preparation by independently gathering data, analyzing historical trends, and preparing forecasting and variance reports using advanced Excel functions and AI-supported data analysis tools.
- Review and reconcile budget variance reports and monthly forecasts, leveraging automation to identify trends, anomalies, and reporting efficiencies.
- Track and reconcile executive expense reports and departmental invoices, utilizing automated expense and reporting platforms to ensure accuracy and timeliness.
Technology, AI & Workflow Optimization
- Design, implement, and continuously improve administrative systems, workflows, and reporting processes using AI, automation, and digital productivity tools.
- Evaluate and deploy automation solutions to streamline scheduling, reporting, document management, and information flow across R&D, Operations, and Legal.
- Independently assess opportunities to increase efficiency and scalability through responsible use of AI tools while maintaining data integrity, confidentiality, and compliance standards.
Other related duties, as required and assigned.
POSITION REQUIREMENTS
- High School Diploma and a minimum of three years of progressively responsible executive-level administrative experience.
- Demonstrated ability to exercise independent judgment and discretion on matters of significance.
- Proficiency in AI-enabled productivity tools, automation platforms, and advanced Microsoft Office applications.
- Strong analytical, organizational, and problem-solving skills with the ability to manage competing priorities with minimal supervision.
- Advanced written and verbal communication skills.
- Professional demeanor, adaptability, and strict adherence to confidentiality.
- Ability to travel if required (up to 10%)
