Responsibilities

Hermitage Hall is one of Middle Tennessee's largest stand-alone psychiatric residential treatment hospitals. It has provided services to families for over 30 years and is licensed by the Tennessee Department of Mental Health and Substance Abuse Services as a mental health residential treatment center for adolescents. Located southwest of downtown Nashville, off I-65 at the Wedgewood exit, away from the congestion of downtown Nashville, our team of over 130 high-quality employees describes working here as family-oriented, therapeutic, and value-clarifying. Our nurses, mental health assistants, psychiatrists, and therapists serve hundreds of adolescents annually, with the common goal of treating and healing trauma and building resiliency in adolescents.

The Executive Assistant position supports the Senior Vice President and broader leadership team. This role combines high-level administrative support with project management and coordination responsibilities.

Job Duties/Responsibilities:
  • Provide day-to-day administrative support to the SVP, including calendar management, meeting coordination, and travel arrangements.
  • Take clear, actionable notes in leadership and cross-functional meetings.
  • Prepare and process expense reports accurately and promptly.
  • Track project deadlines, compile data, and assist in project management tasks.
  • Lead planning and tracking of key initiatives within the division.
  • Develop project scopes, goals, timelines, and performance indicators.
  • Prepare dashboards, progress reports, and impact summaries for divisional leaders and support staff.
  • Identify project risks, coordinate resources, and ensure timely execution.
  • Serve as a project liaison between divisional leaders, facility staff, and stakeholders.

Qualifications

Requirements:

  • High school diploma or GED required; bachelor’s degree preferred.
  • 1-3 years of executive assistant or related experience required; healthcare EA experience preferred.
  • Knowledge of behavioral health management is a plus.
  • Ability to manage multiple priorities with strong analytical and administrative skills.
