One of our companies is currently looking for an Executive Assistant in Canada, Mexico, or the United States.

We are seeking a highly organized and proactive Executive Assistant to support multiple senior leaders across time zones. This role requires a professional with excellent communication, calendaring, and travel management skills, who thrives in a fast-paced, remote-first environment. You will act as a strategic partner to executives, manage confidential information with discretion, and serve as a liaison with internal and external stakeholders. From managing logistics and note-taking to coordinating events and supporting onboarding efforts, you will play a critical role in ensuring operational efficiency. If you're detail-oriented, resourceful, and committed to high-quality support, this role is for you.

Accountabilities:

  • Provide high-level administrative support to two or more executives, managing calendars, schedules, and communications
  • Coordinate complex domestic and international travel logistics, including real-time troubleshooting when needed
  • Serve as liaison between executives and internal/external stakeholders, handling sensitive information with utmost discretion
  • Collaborate with other executive assistants and cross-functional teams to ensure smooth workflows and timely communication
  • Organize internal and external meetings, events, and offsites (virtual and onsite), often outside regular hours
  • Support executive onboarding processes and act as a go-to resource for new hires
  • Take meeting notes, track action items, and assist in managing priorities for executive-level initiatives
  • Execute special projects and tasks as assigned by senior leadership


Requirements

  • Minimum of 5 years' experience supporting C-level or Senior VP executives in a fast-paced environment
  • Mastery of Gmail, Google Calendar, and experience with AV tools like Zoom and Microsoft Teams
  • Strong organizational and time management skills with the ability to multitask effectively
  • Proven ability to manage confidential information with integrity and discretion
  • Experience with travel coordination and event planning; familiarity with Navan is a plus
  • Excellent verbal and written communication skills with a diplomatic and professional approach
  • Self-motivated with a proactive mindset, adaptable to shifting priorities and high-pressure situations
  • Valid driver's license and US passport required; openness to occasional travel
  • Team-oriented with a growth mindset and the ability to work independently or collaboratively
  • Comfortable taking direction from senior leadership and contributing to process improvement
