Job summary

New Reach, based in Tempe, AZ, seeks an Executive Assistant to the CEO to manage complex schedules, communications, and project initiatives. This role blends executive support with strategic coordination and will involve high-level relationship management, travel planning, and investor-facing materials.

You will coordinate meetings, organize travel, and implement efficient workflows using AI tools, ensuring critical tasks stay on track.

Qualifications

  • Bachelor’s degree required in a related field.
  • Minimum 5 years of executive assistant or related experience with emphasis on project management.
  • Strong technical acumen with design/web skills.

Responsibilities

  • Provide direct administrative support to the CEO, managing schedules, correspondence, and daily tasks.
  • Organize meetings including scheduling, reminders, and catering when necessary.
  • Make travel arrangements: flights, hotels, rental cars.
  • Office management duties: ordering supplies, vendor interaction, ad-hoc projects.
  • Prepare investor-facing materials: updates, deal decks, newsletters, emails, company website.
  • Implement processes and task management systems, including AI tools.
  • Act as gatekeeper to the CEO and manage access to time and office.
  • Coordinate personal activities for the CEO.
  • Conduct research and data analysis for reports and documents.
  • Prepare/edit correspondence, proposals, contracts, presentations, and other documents.
  • Gather and submit invoices and expense reports.
  • Spearhead projects from conception to completion with timelines and quality.
  • Collaborate across teams as liaison between CEO and departments.
  • Organize and maintain digital files and databases for easy retrieval.
  • Travel to client-facing events as directed.

Job Summary:

Are you ready to be at the heart of excitement in the New Reach world? As an Executive Assistant to our CEO, you’ll report directly to the Chief Executive Officer and play a crucial role in managing the dynamic schedule of our organization. This role is a perfect blend of project management and communications, where you'll be at the forefront of coordinating high-priority initiatives and ensuring seamless operations. From overseeing key projects and handling critical tasks to maintaining high-level relationships, you'll help drive our strategic objectives forward. Your days will be filled with organizing complex schedules, facilitating smooth interactions with stakeholders, and executing detailed plans that keep us on track. Key Responsibilities:
  • Provide direct administrative support to the CEO, managing schedules, correspondence, and daily operational tasks.
  • Organize meetings including scheduling, sending reminders, and organizing catering when necessary.
  • Make travel arrangements, including booking flights, hotels, and rental cars.
  • Perform general office management duties that include ordering supplies and food, vendor interaction, and ad‑hoc projects as needed.
  • Prepare and revise investor‑facing materials including monthly updates, deal decks, newsletters, emails and company website with extreme, meticulous precision.
  • Implement processes and task management systems to better optimize collaboration, reporting, and communication, specifically through the use of AI tools.
  • Act as gatekeeper to the CEO creating a win‑win situation for direct access to the CEO’s time and office
  • Assist in planning and the coordination of personal activities for the CEO.
  • Conduct research, and collect and analyze data to prepare reports and documents.
  • Prepare and edit correspondence, communications, proposals, contracts, presentations, and other critical documents.
  • Gather and submit invoices and expense reports
  • Spearhead and manage projects from conception to completion, ensuring timelines, objectives, and quality standards are met.
  • Collaborate with teams across the organization, serving as a liaison between the CEO and other departments.
  • Organize and maintain digital files, databases, and repositories for easy retrieval and reporting.
  • Travel to client‑facing events under the direction of the CEO.
Qualifications:
  • Bachelor’s degree in Business Administration, Communications, or related field is REQUIRED.
  • Minimum of 5 years of experience as an executive assistant or in a related role with strong emphasis on project management.
  • Strong technical acumen, with demonstrated abilities in graphic design, web design (WYSIWYG platforms).
  • In‑depth understanding of G Suite and Microsoft Office applications.
  • Exceptional organizational, time‑management, and multitasking skills.
  • Ability to organize a daily workload by priority.
  • “Roll with the punches” attitude. Approach challenges with a solution‑oriented mindset, demonstrating initiative in overcoming obstacles.
  • Strong discernment skills and high integrity; the ability to perceive, understand, and judge things clearly and with high integrity, especially those that are not obvious or straightforward.
  • Experience having access to private and professional confidential information and demonstrated ability to exercise discretion.
  • Demonstrated ability to identify and implement efficiencies using tech‑savvy methods such as AI and other, similar softwares.
  • Impeccable communication skills with an amiable and determined personality.
  • Ability to anticipate challenges to the CEO and provide solutions without direct involvement of the CEO.
  • The right candidate will have an insatiable appetite to learn, grow, and be part of something incredible.
  • Experience in delegation and management of auxiliary support roles.
  • Familiarity with the AI technology, education publishing, and real estate sectors is a plus.
