Job summary

KLR in Providence, RI, seeks an Executive Assistant to support the CEO, Equity Partners, HR, and COO with a range of staff, client, and business initiatives. The role collaborates with internal and external stakeholders on cross‑functional projects and deliverables.

Responsibilities include managing calendars, travel arrangements, expense reports, document management, and confidential information handling, with occasional front office coverage and personal project support.

Qualifications

  • 1–3 years of experience in an Executive Assistant or similar professional support role within a professional services environment.
  • Submission of a professional writing sample required.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Ability to handle sensitive and confidential information with discretion.
  • willingness to travel to other office locations.

Responsibilities

  • Proactively support assigned Shareholders and Partners by managing day-to-day priorities, anticipating needs, and balancing competing demands
  • Manage complex calendars, scheduling on-site and off-site meetings while ensuring alignment with priorities and deadlines
  • Coordinate domestic and international travel arrangements and prepare timely, accurate expense reports
  • Plan and manage logistics for internal and external meetings and events, including space reservations, technology needs, and catering across all office locations
  • Serve as a professional point of contact for internal and external stakeholders, supporting executive communications
  • Manage CPE and certification tracking and reporting
  • Handle confidential and sensitive information with discretion and sound judgment
  • Provide administrative support including document management, proofreading and editing, electronic filing, and report preparation
  • Proactively identify opportunities to improve efficiency and support executive effectiveness
  • Support special projects, both professional and occasional personal, as requested
  • Provide reception coverage averaging approximately 5 hours per week, including greeting visitors, answering phones, and supporting front office operations

  • Strong document formatting, preparation, and presentation development skills
  • Ability to handle sensitive and confidential information with discretion and professionalism
  • Flexibility to adapt to changing priorities and responsibilities
  • Willingness to occasionally travel to and work from other office locations

This is a full-time position with standard hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Additional hours may be required during peak busy seasons.

Pay Range

The hourly pay for this position is included below. Individual rates within this range are determined by a variety of factors including but not limited to the role, function and associated responsibilities, a candidate’s work experience, education, knowledge, skills, and geographic location.

$28.00 to $35.00 per hour
