About the Role: Under moderate supervision, performs a variety of complex and highly confidential administrative, secretarial and clerical duties for the Director of Primary Care Services for the Medical Group. Uses independent judgement, with emphasis on confidentiality, administrative detail, priority and responsibility. Requires knowledge of standard office procedures and familiarity with departmental, Hospital and LifeBridge policies, a high degree of skill and competence, and the ability to work under pressure and meet deadlines. Performs various special project assignments Position is hybrid remote.

KEY RESPONSIBILITIES
  • Executive & Administrative Support: Provide high-level administrative support, exercising discretion and independent judgment to ensure efficient office operations.
  • Manage complex calendars, schedule meetings, coordinate conflicts, and arrange travel and logistics.
  • Screen and triage telephone calls and visitors; respond to inquiries and handle sensitive matters in accordance with hospital policies.
  • Prepare correspondence, memoranda, reports, presentations, meeting agendas, and minutes; often involving confidential or sensitive information.
  • May develop and support the development of presentation materials for the LifeBridge Health Board of Directors.
  • Reporting & Data Management: Research, gather, interpret, and maintain data to develop confidential and complex statistical and administrative reports.
  • Compile and verify data using spreadsheet software; ensure accuracy, completeness, and appropriate formatting.
  • Operational & Logistical Coordination: Coordinate meetings, conferences, retreats, and events, including room reservations and catering.
  • Assist in developing and monitoring timelines related to faculty, residency, and graduate medical education programs.
  • May process physician expense reimbursements, invoices, payroll, petty cash, and other departmental financial transactions.
  • Facilitate physician credentialing and ensure required documentation remains current.
  • Team & Organizational Support: Build collaborative relationships with physicians, leadership, staff, patients, and community members.
  • May support onboarding logistics, special projects, and department-specific initiatives as assigned
REQUIREMENTS
  • Education: HS Diploma/GED preferred
  • Experience: 1-3 years of experience
