Job summary

Alliant Insurance Services seeks an experienced executive assistant to provide comprehensive administrative support to one or more senior executives. You will manage calendars, arrange travel, prepare correspondence and presentations, and handle confidential information with discretion.

Responsibilities include coordinating events, taking notes in meetings, preparing reports, and supporting special projects as directed by executives.

Qualifications

  • High School Diploma or GED with administrative experience equivalent to completion of two years of college-level coursework in business or an equivalent combination of education and work experience
  • Five or more years of related experience

Responsibilities

  • Manage and prioritize Executive Management calendars, including scheduling meetings and appointments.
  • Screen and direct phone calls and emails, responding on behalf of the executives when appropriate.
  • Prepare and edit correspondence, presentations, and reports for internal and external distribution.
  • Coordinate travel arrangements and prepare travel itineraries.
  • Attend meetings with executives, take notes and update action plans, and distribute them as needed.
  • Conduct research and compile data to prepare documents and reports for review.
  • Assist with special projects and initiatives as assigned by the executives.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Performs all duties in accordance with all company policies and procedures, and all federal, state and local laws, wherein the Company operates.
  • Performs other duties as assigned.

SUMMARY

Responsible for providing essential administrative support for one or more key executives by performing a broad range of complex responsibilities related to the management of Executive level programs. Prepare correspondence, reports, and meeting and presentation materials. Respond to or route routine inquiries. Schedule and coordinate meetings, calendars, travel, and other activities.

QUALIFICATIONS
EDUCATION / EXPERIENCE
  • High School Diploma or GED with administrative experience equivalent to completion of two (2) years of college-level coursework in business or an equivalent combination of education and work experience
  • Five (5) or more years of related experience
SKILLS
  • Proficient in Microsoft Office products.
  • Excellent verbal and written communication skills.
  • Good leadership, problem solving, and time management skills.
  • Good planning, organizational, and prioritization skills.
  • Ability and motivation to work independently and proactively anticipate the needs of the executives.
  • Ability to communicate effectively with employees at all levels within the company.
  • Ability to process and handle confidential information with discretion.
  • Ability to maintain a flexible work schedule to include evening and weekend hours as needed.
